The Intake & Reporting Coordinator provides direct support to both the Dragonfly and Resiliency Programs, with primary responsibility for client intakes and agency client reporting. This role requires establishing and maintaining open, effective communication between programs and other stakeholders to ensure these processes are completed accurately and on time.

The Intake & Reporting Coordinator is responsible for managing the agency's intake process, ensuring that all client information is collected accurately, documented thoroughly, and entered into the appropriate systems in a timely manner. This role maintains the integrity of agency data by monitoring its accuracy, consistency, and completeness, and uses this information to prepare and submit required reports to internal leadership and other stakeholders. Through meticulous data management and reporting, the coordinator supports program evaluation, ensures accountability, and contributes to informed decision-making across the agency.

The position also ensures compliance with legislation, contracts, standards, policies, and procedures--both in their own work and in the work of the programs and practitioners they support. All responsibilities are carried out within an ethical, client-driven framework.

Major Job Responsibilities



Agency intake - managing the intake email and phone calls Agency data collection & reporting (various reports daily, weekly, monthly, and annual reporting) Meet and collaborate with Program Manager regularly to ensure consistent and best practices are being maintained and information being shared on regular basis. Receive and address practitioner, caseworker and client grievances and relay the information to the appropriate supervisor External referrals from Children Services Complete accurate and complete Intakes/new files/new referrals Audit data and reporting routinely Assist with the development and implementation of policies and procedures DCP Reviews Personnel documentation tracking Running errands for programs - Gift cards/purchase orders Ensure standards compliance and quality assurance daily Serve on committees as assigned Effectively present information and respond to questions from managers, employees, residents, families, professionals and the general public Participation in supervisions, program meetings and supervision groups Ensure all direct reports maintain human resource documentation and training requirements Read, analyze and interpret practice standards, professional journals, technical procedures and government standards and regulations Effective communication skills with individuals at all levels of the organization A well-defined sense of diplomacy, including solid negotiation, conflict resolution, and people management skills Ability to solve complex problems and deal with a variety of issues Complete all administrative tasks assigned and required Perform other related work as assigned

Qualifications



Post-Secondary School Diploma required, University Degree in Human Services or related field preferred or equivalent 2 years' administrative experience preferred Experience in Human Services is considered as asset Intermediate - advanced knowledge of Microsoft Office (Word, Excel, Outlook, Power Point) Ability to interpret and effectively manage multiple competing priorities and deadlines Proven ability to organize, evaluate, communicate and present information, both verbally and written Demonstrated time management and project management skills
