We seek to immediately hire a confident, compassionate, and highly organized
Intake Coordinator
to be the first point of contact for prospective clients. You'll be responsible for handling all incoming inquiries--by phone, email, and web--and engaging leads in meaningful, empathetic conversations about their family law concerns. Your ultimate goal is to guide them toward booking an initial consultation with our legal team and helping them take the next step toward becoming a retained client.
This position is permanent, full-time and provides a hybrid work model, with the flexibility for the candidate to select to work out of either our Newmarket or Barrie office. Additional time in-office may be required during the training and onboarding process.

Key Responsibilities:
Serve as the primary point of contact for all new leads and prospective clients
Promptly respond to inquiries via phone, email, web forms, and other platforms
Build rapport and trust through empathetic and professional communication
Ask appropriate questions to understand the potential client's family law needs
Clearly explain the firm's services, process, and consultation options
Schedule initial consultations for lawyers and ensure follow-up is completed
Track lead status and outcomes in our CRM, Clio Grow
Coordinate with the legal team to ensure smooth transitions for new clients
Follow up with leads who have not yet booked or retained, using structured workflows
Meet monthly conversion targets for consultations booked and clients retained
Qualifications and Key Attributes:
Prior experience in client service, sales, legal intake, or a related role preferred
Strong interpersonal and communication skills, both verbal and written
Comfort handling sensitive, emotional, confidential and often urgent situations with discretion
Highly organized, detail-oriented, and able to manage multiple leads at once
Tech-savvy and familiarity with CRM systems and appointment scheduling tools a strong asset
A genuine interest in family law and helping people during challenging times
