Role Summary:

Our Southern Alberta Branch is currently recruiting for an Installation Coordinator (Fire). This role will be based out of the Calgary branch office Monday to Friday. This role will support all aspects of administration for the Calgary Branch along with scheduling, motivating, and supporting Chubb technicians and third party subcontractors in system installations plus partial project management during the installation process. This position will also focus on customer satisfaction to ensure installation contracts are completed on time and in scope. This position reports to the Fire Supervisor but will have a dotted line to the Alberta Operational Leadership team.

This is a branch office based role working directly out of the branch office 5 days a week.

Key Job Responsibilities:

Under the direction of the Supervisor/Manager, you will schedule installation jobs with our team of technicians and sub-contractors. Track hours used and assist in holding team members accountable to hours. Work with the sales team on revisions of sales orders, when required. Operational coordination of small scale projects using available resources. Project approximate completion dates for installation work(s) and assign dates within the appropriate systems. Ensure installation jobs are tracked and closed out in a timely manner. Phone and Email correspondence with customers to ensure requests are noted &/or scheduled as required. Issue and track purchase order numbers as required. Assist with forecasting of project revenue using 'percentage of completion' on major jobs (with the assistance of others where applicable). Update the POC file as required. Source approved resources or materials for installation projects where required. Create and handle shipments to technicians and remote locations, i.e. Purolator, FedEx packages. Manage the stockroom, including consumable parts. Various other customer service & support duties over the phone or through emails Provide administrative support as needed for all departments Data entry as required including for company reports and within company systems Assist other Alberta support roles including but not limited to Branch Administrators, Coordinators, Collections, Inside Sales, and Sales Support Specialists during their busy periods Process invoices Will the be backup for the Storekeeper role when the Storekeeper is on days off so the ability to lift up to 50lbs is a requirement of the role. Order supplies Check mail Other duties as assigned.

Qualifications:

Post-Secondary education in Office Administration or a related discipline preferred 2+ years of experience in an administrative/service coordination role Effective communications skills with the ability to develop strong employee and customer relationships Excellent problem-solving skills with strong attention to detail Proficient Microsoft Office skillset required (Outlook, Excel, Word, PowerPoint) Excellent written and verbal communication skills Strong customer service and interpersonal skills Highly organized and able to work under pressure Flexibility to multi-task in a fast-paced environment
