In-Office Position -- No Remote Work
We are seeking a highly organized and detail-oriented
Import Coordinator
to support and manage the flow of international and domestic product imports into Canada and the U.S. This role plays a key part in ensuring accurate documentation, smooth customs clearance, and timely delivery of goods from global suppliers.
Key Responsibilities
Import Documentation & Vendor Coordination
Prepare, verify, and maintain all import documentation, including commercial invoices, packing lists, and shipping details.
Communicate regularly with overseas and domestic vendors to track order progress and confirm shipment readiness.
Review purchase orders and ensure all documentation aligns with shipment requirements.
Customs Clearance Support
Work with customs brokers to ensure all documentation is submitted accurately and on time for entry into Canada and the U.S.
Ensure compliance with customs regulations, trade agreements (e.g., USMCA/CUSMA), duties, and tariff classifications.
Monitor any customs-related issues or delays and support timely resolution.
Shipment Tracking & Coordination
Track inbound shipments from departure to delivery and maintain accurate, up-to-date records.
Communicate shipment ETAs and status updates to internal teams.
Assist in arranging the release of goods from bonded warehouses when required.
Import Compliance & Recordkeeping
Maintain accurate import files and ensure all required records are complete for audit and compliance purposes.
Stay informed about changes in customs requirements, documentation standards, and import regulations.
Support duty drawback processes and tariff classification updates as needed.
Skills & Experience
2+ years of experience in
import coordination
, international trade, logistics, or a related field.
Strong understanding of customs requirements for Canada and the U.S.
Experience working with customs brokers, freight forwarders, and international vendors.
Familiarity with tariff classification, duties, trade agreements, and import compliance.
Strong organizational, analytical, and problem-solving abilities with exceptional attention to detail.
Ability to work in a fast-paced, deadline-driven environment.
Proficiency in Excel, shipment tracking tools, and import documentation systems.
Bonus Qualifications
Experience in retail, apparel, or consumer goods imports.
Knowledge of ERP systems or inventory management platforms.
Multilingual abilities (especially languages used in key manufacturing regions, such as Mandarin).
Certifications in supply chain management or international trade (e.g., CSCP, CIFFA, or CLTD).
