The Bigstone Health Commission is seeking a detail-oriented and organized Human Resources File Clerk to support our HR department by maintaining and managing employee records, both physical and digital. The ideal candidate will ensure that all HR documentation is accurate, up to date, and securely stored in compliance with company policies and legal regulations. Duties and Responsibilities:
Organize, file, and maintain employee records in an orderly and secure filing system
Scan and convert existing paper files into digital format, ensuring accuracy
Create and maintain digital filing systems for efficient document management
File new paperwork such as onboarding documents, benefits forms, and performance reviews into both physical and electronic records
Process confidential HR documents such as employment contracts, background checks, and disciplinary records
Support HR staff with administrative tasks, data entry, and document verification
Ensure compliance with recordkeeping standards, data privacy, and retention policies
Retrieve and provide documents as needs for audits, legal requests, or internal reviews
Knowledge, Skills, and Abilities:
Strong organizational and time management skills with the ability to prioritize and handle multiple tasks
Excellent attention to detail and accuracy in data entry
Working knowledge of Microsoft Office (Word, Excel, Outlook)
Ability to operate scanners, copiers, and filing equipment efficiently
Strong confidentiality and discretion when handling sensitive information
Good written and verbal communication skills
Ability to work both independently and collaboratively within a team environment
Willing to take training as required
Education and Experience:
High school diploma or equivalent required; associate degree in business, HR, or related field preferred
1-2 years of clerical, administrative, or HR support experience
Experience with scanning, filing, and digital document management preferred
Familiarity with HR procedures and employment documentation is an asset
