Summary of Duties:



Under the direction of the Director of Human Resources, the HR Coordinator will work closely with the HR Generalist to support all departments and staff. This role helps to ensure smooth and efficient HR operations with recruiting, onboarding, internal movements, offboarding, HR policy, training, and compensation and benefits,

Key Deliverables and Expectations:

HR Administration

Maintain digital copies of employees' records. Maintaining the HR inbox with answering all inquiries. Assist in daily administration work including HRIS system (Change forms, Amendment contract, Leave forms, Termination forms, etc). Provide support by attending and scheduling meetings, HR events and maintaining agendas. Liaise with other departments or functions (payroll, benefits, IT etc.) Run reports and present data to appropriate parties. Prepare data and distribute annual pay increase letters to employees and the payroll team. Process invoices and payments. Assist with HR Events. Lead enhancements for Citation, ATS, and SharePoint, ensuring effective implementation of system improvements. Perform other related duties as requested.

Recruitment and hiring

Review departmental staffing levels and advise managers on identifying hiring needs. Support managers in obtaining higher-level approvals, as required. Support managers with hiring, onboarding, internal movements and offboarding processes. Support managers with their recruitment process by identifying candidates, assisting with interviews, performing reference checks and issuing employment contracts. Assist with developing job descriptions. Work with HR to set up a new employee onboarding process for safety.

Training

Assist in developing and facilitating training programs, such as new hire orientation sessions, effective communication, and privacy training. Coordinate training sessions and seminars. Provide training and support for managers on the Human Resources Information System (HRIS). Manage and be the point person for the internal training platform HR Downloads.

HR policies

Support employees' inquiries about policies, pay rates and benefit programs outlined in HR policies. Assist with performance management procedures and annual reviews. Assist in planning and implementing policies and programs. Review existing policies and procedures. Adhere to all the rules and regulations.

Experience and Attributes:



A university degree in Human Resources Management, Business Management, Administrative Studies, or a related field, or an equivalent combination of education, training, and experience. Previous relevant HR work experience, or strong administrative background required. Minimum one year experience in recruitment. Previous experience working with First Nations is an asset. Understanding of labour relations and knowledge of labour Standard of BC and Canadian Code. Excellent interpersonal, oral and written communication. Ability to work independently and as an integral member of various teams. Strong organizational skills, meticulous attention to detail and time management skills. Ability to meet deadlines prioritizes assignments, multi-task and maintain confidentiality. Strong proficiency in Microsoft Word, Outlook, Excel & PowerPoint. Past experience with HRIS is an asset. Motivated self-starter and with strong interpersonal skills. Highly professional in all aspects of business, presentation and interaction with all stakeholders, clients, and Members. Must be able to provide a clear criminal record check, including the vulnerable sector. * Valid Class 5 Driver's License & clean Driver's Abstract with access to a vehicle.
