At Sinai Health, we care, create possibilities and offer hope. Sinai Health is looking for a Human Resources Assistant to provide administrative support to its Workforce Planning team. This is a temporary full-time role.

The Human Resources Assistant will be expected to exercise sound judgment and independence while managing day-to-day related administrative activities. The incumbent will demonstrate a strong commitment to quality customer service, applying excellent problem solving and communication skills to ensure the success of the departments and Sinai Health as a whole in providing safe high quality person centered care.

Responsibilities include, but are not limited to:

  • Provides superior customer service when performing a variety of administrative functions, including responding to internal and external queries; refers matters to appropriate members of the team
  • Produces routine reports and responds to standard requests for information utilizing the Human Resources Capital Management System – Ceridian Dayforce and other relevant departmental information systems
  • Supports the recruitment process through:
    • tracking and reviewing recruitment requests and creating recruitment files
    • tracking vacancies and file progress; ongoing tracking and follow-up on recruitment checklist requirements
    • drafting and revising job postings; posting positions on internal boards, Applicant Tracking Systems and niche posting sites
    • screening resumes and phone screening applicants
    • creating seniority lists and requisite documentation
    • booking appointments to support file management e.g. client/vendor meetings, phone screens, and interviews (attending as required)
    • securing, checking and submitting references (3rd party) for completion
    • drafting and issuing contract extension/transfer/offer/rejection letters
    • completing new employee paperwork and preparing new hire files for documentation
    • tracking and following up on new hire on-boarding requirements
  • Conducts routine electronic and paper employee file reviews and audits; assists with the creation and maintenance of spreadsheets and other applicable tracking documents
  • Liaises with the broader HR team regarding attendance, performance and vacancy information
  • Assists with the creation and distribution of correspondence e.g. letters, memorandums, orientation lists, etc.
  • Provides required support to relevant departmental committees, working groups, and steering committees
  • Assists with scheduling meetings and booking rooms; drafts meeting agendas, prepares and assembles related materials
  • Assists with the composition of meeting minutes and related correspondence
  • Creates and supports the maintenance of the department's file management system
  • Sorts and distributes all incoming internal and external mail and faxes; ensures all opened mail is date stamped and passed to appropriate team member
  • Performs a variety of other administrative activities including, but not limited to: photocopying, faxing, scanning, arranging couriers and ordering office supplies
  • Performs other duties as assigned

Job Requirements
  • Successful completion of a college diploma in relevant area of study (e.g. Human Resources, Business Administration, etc.) from a recognized educational institution
  • A minimum of one (1) year of recent and related experience preferably working within a large and complex unionized healthcare environment
  • Applicants with proven equivalent recent and related training and experience may be considered
  • Advanced technical skills and proficiency in Microsoft Office (Word, Excel, Outlook); experience working with HRIS, ATS, etc. systems preferred
  • Demonstrated attention to detail with a high degree of accuracy and ability to multitask
  • Strong communication skills (verbal and written) to professionally represent Sinai Health; proven commitment to quality customer service
  • Prepared to respond to a fast-paced changing environment requiring flexibility with respect to working hours
  • Demonstrated organization and problem solving skills with the ability to prioritize competing demands
  • Strong work ethic, professionalism, resourcefulness, reliability and diplomacy
  • Proven ability to make decisions, exercise judgment and take initiative in dealing with confidential information and/or in responding to inquiries
  • Demonstrated satisfactory work performance and attendance history
