Children's Treatment Network (CTN) supports over 33,000 kids and youth with disabilities and other developmental needs. What You Will Do:
CTN is looking for a
temporary, full-time Human Resources Assistant
who will play a key role in supporting the HR team in delivering high-quality services. This position is responsible for HR administrative support in benefits, recruitment, onboarding, employee inquiries, data tracking, reporting, and research support. This position reports to the Senior Human Resources Advisor.
This is an 18-month contract role.
Responsibilities:
The successful incumbent will be responsible for the following duties and responsibilities:
HR Administration & Employee Support
Maintain and update employee records and HR databases with a high degree of accuracy and confidentiality
Manage the HR mailbox and respond to employee inquiries related to HR policies, procedures, and benefits with professionalism and care
Assist with onboarding and offboarding processes, including scheduling, documentation, and compliance
Prepare and draft HR correspondence such as offer letters, employment confirmation, contract amendments, and other employee communications
Process HR requisition forms, ensuring accuracy, appropriate approvals, and timely follow-up in alignment with internal procedures
Participate in the job evaluation process by supporting the review of job descriptions and position information questionnaires to determine the appropriate salary band placement
Benefits & Leave of Absence Administration
Support enrollment and changes in employee benefit programs
Track and manage leaves of absence, ensuring documentation and communication are complete and timely
Liaise with benefits providers and assist with open enrollment processes and wellness initiatives
Recruitment & Onboarding
Post job openings to various platforms and track application submissions, ensuring appropriate approvals are in place
Prescreen candidates, prepare new employee communications, and assist with offer letters and pre-employment checks
Maintain recruitment trackers and maintain recruitment and onboarding templates
Input and manage employee data in the payroll system (Quadrant), ensuring accuracy in benefit entitlements, job classifications, and scheduling details
Co-lead the monthly onboarding program in collaboration with the HR Coordinator
Data, Metrics & Reporting
Generate regular and ad hoc reports on HR metrics such as headcount, turnover, recruitment status, and employee engagement
Track and report on employee training completion rates, ensuring accurate documentation and timely follow-up to support compliance
Assist with audits and ensure HR data integrity and compliance with organizational and regulatory requirements
Customer Service & Team Collaboration
Serve as a welcoming and helpful point of contact for employee HR-related questions
Support HR projects and initiatives that enhance employee experience and organizational culture
Collaborate closely with Finance, Payroll, and other departments to ensure smooth HR operations
Research & Policy Support
Conduct research on HR best practices, policies, and emerging trends
Assist in updating and formatting HR policies, procedures, and internal communications
Other:
Ensure legal compliance with the Employee Standards Act of Ontario, Ontario Health & Safety Act, and other regulations and best practices
Other duties and projects as assigned
What We Need:
College Diploma in Human Resources is required
Minimum of one (1) year of relevant HR experience is required; a minimum of three (3) years of relevant HR administrative experience is preferred
Previous experience in a not-for-profit environment is preferred
Highly developed interpersonal skills and the ability to convey information effectively to diverse audiences in a variety of forums and situations
Flexible, with strong organizational, analytical, and problem resolution abilities
Demonstrated ability to establish and maintain personal credibility and broad relationships
Committed to delivery of high-quality outcomes
Demonstrated business professionalism with respect to confidentiality, recognize sensitivity and exercise good judgement, discretion, and accountability in all aspects of the role when dealing with colleagues, clients, families, team members, and network providers

Advanced skills with Microsoft Office Suite including Outlook, Excel, Word, and PowerPoint
Confident with learning new technology and software
Ability to work flexible hours in support of requirements that may fall outside of the typical work hour framework
Knowledge of the children's service systems in Simcoe County and York Region is considered an asset
Ability to communicate in French or other languages considered an asset
Experience with and understanding of various cultures and cultural communities including Francophone, First Nations, Metis, and Inuit (FNMI) communities considered an asset
Certified First Aid is considered an asset
Demonstrated commitment to a safe environment for staff, clients, and families by working in compliance with the Occupational Health & Safety Act and related policies
Ability to travel to assigned office, between CTN sites and/or other locations as required
Lived experience as a person with a disability or a caregiver of a child with a disability and/or developmental needs is considered an asset.

Produce a clear police record check with a vulnerable sector check prior to the start of employment
Be able to travel to the assigned office, between CTN sites and/or other locations as required
Maintain the ability to work effectively in a temporary hybrid environment and have access to appropriate internet capacity
