Responsibilities

PRIMARY PURPOSE



Coordinates and provides administrative support to the People Services (HR) department on daily activities, programs, projects, and initiatives. Acts as the first point of contact for general HR queries; re-directs as appropriate.



KEY ACCOUNTABILITIES



Coordinates and provides administrative support to the People Services (HR) department with a variety of programs, projects and initiatives which include but are not limited to Onboarding & Orientation, Policy Research, Surveys, Employee Relations & Engagement, Workforce Planning, Employee Experience, Workspace Services, and other related HR programs and initiatives.



Provides administrative support to the Director in the handling of sensitive and confidential issues. Coordinates FOI requests by collecting the required information for submission to the FOI department in a timely manner.



Assists with the coordination and compliance of BCRTC's policies, including the Code of Conduct Policy and the Respectful Workplace Policy.



Acts as the first point of contact for general HR queries, including emails, phone enquiries, external correspondence; responds to queries and directs as appropriate. Supports conducting research, drafting correspondence, preparing presentations, and gathering and providing statistical information.



Provides information related to onboarding and offboarding employees to BCRTC Security Specialist for access cards and keys.



Assists employees in resolving basic benefit inquiries by providing general information on where and who to contact for benefit program information and liaising with TransLink Benefits department on behalf of employees for the submission of their benefits forms, if required.





Manages personnel files; ensures filing is up to date; provides Labour Relations with information from personnel files; meets with employees and remains present while they review their personnel files.



With the Manager, Human Resources Operations approval, creates a change of status requests in HR System for changes in pay rates and reporting lines. Runs various ad hoc HRIS reports.



Applies knowledge of organizational policies and collective agreement provisions when responding to employee queries and seeks clarification and/or guidance as required.



Assists with implementation of new programs and initiatives, which may include coordinating materials, meetings and assisting with facilitating sessions.



Supports the planning, design, and implementation of workspaces to ensure optimization of space aligned with business priorities. Works with the Workspace Services Lead, as required, to create workspaces that foster collaborative, engaging, and productive environments.



Assists with Employee Experience initiatives and projects, as required, to advance collective priorities.


Qualifications


------------------




EDUCATION AND EXPERIENCE:



The competencies for the position would be acquired through completion of a Diploma in Human Resource Management, plus two (2) years of related experience in a human resource environment, giving preference to exposure in a unionized environment.



OTHER REQUIREMENTS:



Solid working knowledge and understanding of human resource concepts, principles, theories and practices.



Intermediate to advanced skills with MS programs including Word, PowerPoint and Excel and working experience of commonly used HR systems.



Solid written and verbal communication skills.



Proven time management skills and demonstrated ability to manage time effectively, prioritize, multi-task, and able to meet multiple deadlines.



Strong organizational and analytical skills, to effectively research, coordinate and analyze, a variety of information.



Sound problem solving and decision-making skills.



Demonstrates initiative and can work independently.



Demonstrated discretion and confidentiality are essential to be able to assess requests for private information and to be able to deny or escalate such requests if required.

Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions.

Rate of Pay

The salary for this position ranges from $64,000 - $96,000 per annum (Actual salary offered will be based on education, experience, skills, and qualifications as they relate to the role.
