Job Summary:
The HR Assistant plays a crucial role in supporting the HR department's day-to-day operations and administrative functions. The HR Assistant provides administrative support to the human resources department, assisting with tasks such as recruitment, onboarding, employee records management, and compliance with HR policies and procedures. This role requires excellent communication, organizational, and multitasking skills to ensure smooth HR operations.
Key Responsibilities:
Assist in job posting and candidate sourcing. Support HR Manager in scheduling interviews and coordinate with candidates.
Schedule meetings and appointments for the HR team as needed
Assist in conducting background checks and reference checks.
Prepare new employee documentation and orientation materials. Coordinate new hire orientation sessions. Assist with the completion of required paperwork of new hire.
Maintain and update employee files and records.
Ensure accuracy and confidentiality of employee data.
Assist with the filing and retrieval of HR documents. Assist in preparing HR reports, such as employee turnover and attendance records.
Assist in ensuring HR policies and procedures compliance.
Stay updated on labor laws and regulations.
Assist with employee communications and announcements.
Coordinate with the operations and payroll departments to ensure the efficient functioning of the HR department.
Handle general HR inquiries from employees. Escalate employee issues to the appropriate HR or program manager.
Maintain and update employee records (e.g., contact information, job titles, health & wellness, PIC/VSS, etc.) in both digital and physical formats.
Ensure the confidentiality of sensitive employee information and maintain proper data security protocols.
Maintain HR department supplies and materials.
Assist with special HR department or/and agency projects or/and initiatives as needed.
Other duties as assigned by supervisor.
Qualifications:
High school diploma or equivalent (bachelor's degree in HR or related field is a plus).
Minimum 1-3 years of related HR experience is required.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Strong organizational and time-management skills.
Excellent communication and interpersonal skills.
Attention to detail and confidentiality.
Ability to work independently and as part of a team.
Knowledge of HR software and systems is preferred.
Working Conditions:
This is typically an office-based role.
