Job Description



Location: Regina Full-time Term Posting closes May 23, 2023 The Human Resources (HR) Administrative Assistant provides support to employees and management by performing administrative duties for the Human Resources department. The HR Administrative Assistant is responsible for HR correspondence and reports, data entry, and generating and compiling HR related metrics and materials. The HR Administrative Assistant manages the personnel filing system including; filing, tracking files, and archiving. The HR Administrative Assistant contributes to the effective delivery of human resource initiatives. Qualifications Education and Professional Certification

  • Certificate or diploma in human resources, business administration, or a related field of study.
  • Certified Professional in Human Resources (CPHR) designation is an asset.
Experience
  • Minimum one (1) year of experience working in an office environment. Preference would be given to those who have experience working in human resources.
  • Experience working on computers with software packages including; Excel, Word, and Outlook.
  • Experience working with various databases.

Duties and Responsibilities Services
  • Assist the Human Resource Consultants in the recruitment and onboarding process including; compiling and distributing resumes, reviewing and short-listing resumes, and completing reference checks.
  • Assists with the recruitment and coordination of volunteer placements.
  • Schedule and facilitate orientation for new employees, practicum students, and volunteers.
  • Coordinate and support training, appointments, and meetings.
  • Develop, maintain, and update human resources documentation and correspondence such as; reports, letters, forms, spreadsheets, employee handbooks, and training materials. Complete all documentation clearly, accurately, and in a timely manner.
  • Distribute documents, forms, reports, and correspondence to the appropriate person, department, or external stakeholders.
  • Enter and update employee information in HRIS and in other applicable databases.
  • Prepare and maintain personnel files.
  • Manage personnel filing system including; filing, tracking files, and archiving.
  • Screen and direct calls for the department, take and relay messages.
  • Process incoming and outgoing mail.
  • Communicate with and establish professional working relationships with internal and external stakeholders.
  • Perform other related duties as assigned.
Leadership
  • Provide leadership and training to new employees, practicum students, and volunteers.
  • Role model agency values and HR best practices.
  • Ensure policies, procedures, and agency standards are being met.
Management of Resources
  • Seek to improve processes and enhance services and efficiencies within the department and across the agency.
  • Participate in the implementation of HR initiatives and ensure assigned projects are delivered within proposed timeframes and budgets.

  • Maintain, promote, and reinforce safe work habits, practices, and procedures.
  • Adhere to written or verbal agency and government regulations, policies, practices, and instructions.

Additional Requirements The incumbent is responsible for completing all mandatory training requirements for the position as per agency policy and guidelines. This is a 9 week term.
