JOB DESCRIPTION
In liaison with the Healing Retreat Committee, the Healing Retreat Coordinator will develop culturally appropriate activities, recruit facilitators and coordinate a 5 day retreat for the women and children at the Shelter. The Healing Retreat Coordinator will stay at the Retreat for the 5 days and ensure the well-being of the participants. As the Retreat Coordinator you will work alongside the Program Coordinator and will report to: Executive Director
DUTIES AND RESPONSIBILITIES
RETREAT PREPARATION:
Recruit an Elder and facilitators for workshops (2 workshops per day)
Prepare a list for the Executive Assistant to purchase materials at least
two weeks
before the Retreat (sunscreen, bug spray, craft supplies, tobacco, beading material, etc)
create, print and distribute an activities calendar of events in coordination with the Child Care Coordinator that includes programming for children's activities, as well as family activities
Create an evaluation survey for participants to complete. Must be approved by the committee.
coordinate with Clinical Coordinator to finalize attendance (this is done close to the departure date)
coordinate with committee to discuss dietary restrictions
schedule at least three Shelter visits with Clients during Morning Circle at least 1 months before departure to discuss the Retreat
recruit any volunteers within your network to host short activities (ex medicine walk or art therapy session)
Meeting with the Clinical Manager to ensure all medication for clients is organized. Clinical Manager will help with the MAR and Childcare Coordinator or Staff will distribute.
Attend bi-weekly meetings with the Healing Retreat team and create agendas for each meeting to be sent to Clinical Coordinator 48 hours prior to meeting.
Coordinate with the Clinical Manager to attend a Case Management meeting prior to Retreat to introduce yourself and discuss your objectives.
Remain within the set budget for the retreat. Any expenses over the budget must be approved by the Executive Director before purchasing.
DURING RETREAT:
Navigate clients and staff on a tour of the property, help them locate their rooms, go over the rules of the property, and help staff safely store medications .
Facilitate daily meetings with the Childcare Coordinator (to discuss client needs, issues, timing of breaks, etc.)
Assign clients with chores and encourage them to participate in activities.
Check in with the cook in regards to meal times.
Host morning circle
Check in with the Clinical Coordinator to give updates
Encourage and support clients in participating in activities
Check in on clients who are missing meals or not participating in activities
Ensure water safety
Help clients gather belongings, pack up materials etc on the last day
Help load up the bus to and from the shelter
Inform participants of the survey and have participants fill out retreat surveys prior to returning to Montreal.
POST-RETREAT:
Create a final report within 1 week of the retreat.
PAYMENT:
An invoice must be submitted 2 weeks before the Retreat to ensure payment is prepared and available upon activity.
All receipt expenses are submitted for reimbursement to the Executive Assistant
ADDITIONAL REQUIREMENTS:
* CPR training - NWSM will cover the cost of training if needed
