The Sexual Assault Centre for Quinte and District is seeking a highly organized and detail-oriented

Operations Coordinator

to support our administrative and operational functions. The ideal candidate will have over 5 years of team management experience, as well as office experience, excellent communication skills, and proficiency with various software tools. This role is vital in ensuring smooth daily operations and supporting all team members with service delivery. The

Operations Coordinator

reports to the Executive Director and will manage all assigned operations of SACQD, which includes all assigned tasks & operations for the Paths of Courage Healing & Retreat Centre

Duties and Responsibilities



Provide direct management and supervision to SACQD & Paths of Courage staff team members in alignment with SACQD job descriptions, philosophies and policy guidelines. Responsible for hiring, orientation, training & evaluation of new staff in conjunction with the Executive Director. Responsible for maintaining SACQD's Policy & Procedure manuals and other agency documentation. To work with Executive Director on issues relating to Human Resources. To plan and participate in the delivery of staff training and to support staff in establishing goals regarding their professional development. To provide ongoing managerial leadership, including the evaluation of team members as per SACQD policy guidelines. To approve time off and assign extra duties as required. Responsible for the program planning & development of SACQD Services, including Paths of Courage Healing & Retreat Centre, in consultation with the Executive Director. To ensure the maintenance of health, fire, security, medical and emergency procedures at all SAC locations. To monitor effective day to day operation of SACQD in conjunction with the Executive Director. To maintain confidentiality on all matters pertaining to SACQD, subject to legal and policy parameters. To develop and implement program evaluation systems. To maintain staff time records and personnel files in conjunction with the Bookkeeper/Admin & the Executive Director. Maintain and implement effective/regular formal and informal communication systems. Participate in and promote a supportive teamwork environment which recognizes and values the uniqueness of individual staff within the agency mandate and philosophy. Promote/facilitate effective problem solving/conflict resolution strategies between staff, volunteers and clients. Participate in the coordination of public speaking and education as required. Responsible for managing the student placement program. To oversee and supervise maintenance of SAC buildings, including contractors and delegate tasks to Paths Program Assistant. May be called on to take on some of the duties of Executive Director in their absence as required. Share on-call services for the agency in coordination with other staff. To participate on regular committees within SAC and the community as directed by the Executive Director. Recruit, train, schedule, supervise and evaluate volunteers & program backups. Organize and facilitate volunteer meetings and maintain a volunteer manual and collect volunteer and service stats. Liaise between volunteers and employees as necessary and make every effort to ensure the volunteers are integrated, supported and valued within the agency. Organize and facilitate parent group/provide info to individual parents. Collect and prepare counselling stats monthly. Research & write proposals as required. May be required to do some evenings/overnights at Paths of Courage. Develop, update and maintain resource files and information packages, as well as up to date flyers and pamphlets. Assist with annual, on-going and special event fundraising initiatives. Perform other duties and complete other activities as assigned by the Executive Director

Qualifications



Registered Social Worker or Registered Social Service Worker in good standing with the OCSWSSW Knowledge of Employment Standards Act and Occupational Health and Safety Act Previous experience in the Sexual Violence or Gender Based Violence Sector Team Management experience Experience with cloud platforms (Ie: WebWish, PowerPay, Microsoft 360) Excellent computer software and smart phone app skills Excellent organizational skills with attention to detail for proofreading and filing tasks Ability to manage multiple tasks efficiently Prior experience with bookkeeping or financial recordkeeping is a plus Strong organizational skills with the ability to prioritize effectively
