About the Role

Guest Care
role is central to the client experience at True Balance. You'll manage the
spa and/or wellness desk
, coordinate the care of hormone therapy patients, and ensure the clinic runs smoothly every day. The ideal candidate is organized, compassionate, tech-savvy, and ready to represent our commitment to patient care and clinical excellence.
Key Responsibilities
Daily Clinic Operations
Open and close the clinic, ensuring all reception and wellness desk procedures are completed
Greet, check in/out, and rebook clients, maintaining a warm and professional environment
Answer phones, return voicemail and text messages
Manage online bookings, confirmations, and next-day preparation (charts, oversights, pharmacy sheets)
Assist hormone therapy clients with program information
Keep lounge, reception, and client spaces stocked, tidy, and welcoming
Handle payments, insurance and travel letters, and coordinate follow-ups
Communicate with labs or clinical teams as needed for results or patient inquiries
Conduct patient follow up processes daily
Patient Care Coordination
Add new patients to CHR and complete encounter notes for calls and appointments
Book new patient calls, follow-ups, and nutrition consultations
Support triage workflow: direct incoming client calls to the appropriate care stream
Ensure smooth communication between front desk, new patient intake teams, and clinical care teams
Weekly & Monthly
Process mail, manage product pickups, organize and price retail orders
Maintain product and office supply inventory (including clinic orders)
Assist with client retention efforts, including yearly blood requisitions and follow-ups
Qualifications
Experience in medical aesthetics, wellness, or clinical front desk coordination is an asset
Knowledge of hormone therapy, integrative medicine, or medical aesthetics is an asset
Excellent communication, multitasking, and organizational skills
Confident using technology, including client management systems
Reliable transportation and flexibility to work evenings/weekends across all clinic sites
