The Groups and Race Centre Coordinator aims to create an amazing guest experience for every group that comes to Sun Peaks. This role assists the Guest Services department with coordinating group functions and events, processing payments for groups and ensuring the groups arrival, stay and departure are a rewarding experience. Compensation Information:

$26.68 per hour


Physical Requirement:

Medium; work activities involve handling loads up to 20kg; in both an indoor and outdoor setting.


This job position requires physical presence at the designated location.

Skills you bring with you:




Minimum two years of experience in a similar or related role. Post-secondary education; business administration, or equivalent experience considered an asset. Outstanding interpersonal and motivational skills. Outstanding computers skills; P.O.S. systems, Microsoft computer systems, electronic business systems. Outstanding cash handling skills; sales transaction reconciliation, daily cash outs. Excellent communication skills. Highly organized, accurate, and detail-oriented. Proven track record in guest services and as a team player. Well-developed verbal and written communication skills. Good working knowledge of current WorkSafeBC standards.

Primary Responsibilities:




Race Centre:


Coordinate all Race Centre bookings, tickets and payments. Ensure all teams have presented their insurance documents and have signed the terms and conditions before arrival. Print off tickets for groups before arrival and deliver, if applicable. Input group orders into POS system RTP. Post-visit telephone follow-up with group leaders to ensure groups were satisfied with their experience and to secure repeat bookings. Be available to assist the Access Audit team during the early morning race centre loads.
Groups:


Coordinate groups arriving in the resort, including welcoming groups as they arrive and ensuring all guest touchpoints (tickets, rentals, snow sports school, activities, etc.) are delivered in a seamless manner. Assist groups in the rental area and ensure groups are delivered to the on-snow sports school coordinator. Coordinate all Slopeside School and First Nations program bookings and requirements. Coordinate all other large group and private booking requests and inquiries for varied resort-controlled products. Print off tickets for groups before arrival and deliver if applicable. Ensure all pre-filled documents are received, correct, and distributed to rentals and snow sports school. Input group orders into POS system RTP and email invoices to groups before arrival. Assist with any walk-in groups. Post-visit telephone follow-up with group leaders to ensure groups were satisfied with their experience and to secure repeat bookings.

General Responsibilities:


Maintain expert knowledge of all resort offerings, including accommodation, dining, mountain activities, and third-party operator activities. Maintain an excellent relationship with the accounting team in order to ensure swift billing and payments. Responsible for updating POS System RTP group products on an annual basis. Responsible for requesting updates to the relevant pages on the resort's website. Ensure that the Groups and Race Centre Lead person has adequate training and is set up for success Staffing - hiring, training, scheduling and fulfilling exceptions in Payworks. Conducting performance evaluations for the seasonal staff member associated with Groups and Race.
