JLL recherche un(e) Gestionnaire, Services operationnels pour un poste strategique axe sur l'analyse de donnees et la resolution de problemes complexes. Ce professionnel accompagne l'equipe de gestion immobiliere dans l'optimisation des services et operations, identifie proactivement toute anomalie et met en oeuvre les actions correctives appropriees pour repondre aux preoccupations des parties prenantes de maniere rapide et professionnelle. Il developpe et entretient des relations de confiance avec les partenaires internes et externes, et agit comme interlocuteur privilegie entre les departements, clients et locataires concernant les projets, la maintenance, les reparations, les evenements et la gestion des urgences. Son objectif principal consiste a optimiser les processus operationnels, la gestion budgetaire et le suivi contractuel, tout en garantissant le respect de la conformite reglementaire.



CE QUE VOUS FEREZ

Gerer, optimiser et ameliorer le systeme d'appels de services (PRISM / Building Engine);



Assurer la repartition et l'execution adequate des billets en cours, les activites de maintenance et les projets;



Gerer le site SharePoint de l'equipe d'Exploitation, incluant mais sans s'y limiter les projets, l'entretien, les incidents et la documentation reglementaire/legislative;



Documenter les activites et interventions sur site ainsi que l'attribution de personnel technique, non limite aux activations Marketing et de Location Specialisee;



Collecter et analyser les donnees appropriees pour soutenir les decisions d'affaires;



Supporter les gestionnaires au developpement et mise en oeuvre des procedures et processus departementaux;



Soutenir l'equipe administrative avec la preparation et l'optimisation des budgets OPEX et CAPEX et les revisions trimestrielles;



Repondre aux appels d'urgence et prendre des mesures correctives efficaces;



S'assurer de la conformite de la facturation aux locataires;



Projets et amenagement des locataires

Soutenir le Gestionnaire avec la documentation et preparation du plan Capex 10 ans de la propriete;



Assister le Gestionnaire avec des taches administratives de certains projets CAPEX specifiques ;



Soutenir les gestionnaires de projets (PDS) et d'amenagement locataires (Tenant Services) et agir comme agent de liaison lors des visites de chantiers et les besoins techniques ;



S'assurer que les exigences legislatives et la securite des locataires/clients sont respectees lors de l'execution des travaux;



Gerer les refacturations et penalites des fournisseurs de services et entrepreneurs ;



Gestion contractuelle

Soutenir les superviseurs en implantant des outils de suivi contractuels ;



Collecter et analyser les donnees fournies par les superviseurs, s'assurer que les niveaux de service sont respectes et recommander des changements ou optimisations;



Assurer la conformite des fournisseurs avec les protocoles de securite et de surete en vigueur;



Reviser les couts d'entretien et exercer un controle budgetaire;



Appuyer les equipes d'approvisionnement avec les appels d'offres;



Gestion d'equipe

Etablir et maintenir une communication efficace et efficiente avec les employes sous sa responsabilite dans l'optique d'offrir des services optimaux aux immeubles;



Superviser, encadrer, evaluer la performance et assurer le developpement des membres de son equipe (ex. Coordonnatrice, Exploitation et projets);



CE QUE NOUS RECHERCHONS

Baccalaureat, gestion des installations ou de la construction;



Au moins sept (7) annees d'experience pertinente dans des roles similaires en gestion immobiliere commerciale;



Connaissance des pratiques actuelles dans l'industrie de la construction du Quebec;



Capacite d'interpreter les plans, devis et specifications techniques;



Maitrise des logiciels de gestion des installations, ainsi que de la suite Office;



Posseder une carte ASP valide;



Maitrise de la langue francaise, a l'ecrit comme a l'oral;



Capacite d'analyser des problemes techniques complexes et de penser de maniere creative;



Analyser et interpreter des donnees complexes;



Faire preuve de professionnalisme et de souci du detail;



Competences en planification, gestion des priorites;

JLL is seeking a Manager, Operational Services for a strategic position focused on data analysis and complex problem-solving. This professional supports the property management team in optimizing services and operations, proactively identifies any irregularities and implements appropriate corrective actions to address stakeholder concerns in a timely and professional manner. They develop and maintain trusted relationships with internal and external partners, and serve as the primary point of contact between departments, clients and tenants regarding projects, maintenance, repairs, events and emergency management. Their main objective is to optimize operational processes, budget management and contract oversight, while ensuring regulatory compliance.



WHAT YOU'LL BE DOING

Manage, optimize and improve the service call system (PRISM / Building Engine);



Ensure proper distribution and execution of ongoing tickets, maintenance activities and projects;



Manage the Operations team SharePoint site, including but not limited to projects, maintenance, incidents and regulatory/legislative documentation;



Document on-site activities and interventions as well as technical staff allocation, not limited to Marketing and Specialized Leasing activations;



Collect and analyze appropriate data to support business decisions;



Support managers in developing and implementing departmental procedures and processes;



Support the administrative team with preparation and optimization of OPEX and CAPEX budgets and quarterly reviews;



Respond to emergency calls and take effective corrective measures;



Ensure compliance of tenant chargebacks;



Tenants projects and fit-out

Support the Senior Manager with documentation and preparation of the property's 10-year Capex plan;



Assist the Senior Manager with administrative tasks for specific CAPEX projects;



Support other Project Managers (PDS) and Tenant Service Coordinators, and act as on-site liaison for visits and technical needs;



Ensure that legislative requirements and tenant/client safety are respected during worksite execution;



Manage chargebacks and penalties for service providers and contractors;



Contract Management

Support on-site supervisors in implementing contract monitoring tools;



Collect and analyze data provided by on-site supervisors, ensure service levels are met and recommend changes or optimizations;



Ensure supplier compliance with current safety and security protocols;



Review maintenance costs and exercise budgetary control;



Support procurement teams with tender processes;



Team Management

Establish and maintain effective and efficient communication with employees under their responsibility with the goal of providing optimal services to buildings;



Supervise, coach, evaluate performance and ensure development of team members (e.g., Coordinator, Operations and Projects);



WHAT WE'RE LOOKING FOR

Bachelor's degree in facilities management or construction.



At least seven (7) years of relevant experience in similar roles in commercial real estate management;



Knowledge of current practices in Quebec's construction industry;



Ability to interpret plans, specifications and technical drawings;



Proficiency in facilities management software as well as Office suite;



Must hold a valid ASP card;



Mastery of French language, both written and oral;



Ability to analyze complex technical problems and think creatively;



Analyze and interpret complex data;



Demonstrate professionalism and attention to detail;



Skills in planning and priority management.
