Responsibilities:
Provide exceptional client service and hospitality, aligning with our clinic's mission, values, and wellness services.
Greet clients warmly and introduce them to our offerings through clear, on-brand communication in person, via phone, and in writing.
Oversee scheduling and appointment management, including booking, optimizing practitioner schedules, and managing waitlists.
Handle administrative tasks such as insurance billing, claims processing, and guiding clients through the claims submission process.
Maintain clinic cleanliness and organization, including treatment rooms, common areas, and restocking supplies.
Create and manage content for our social media platforms to promote our wellness services and engage with our community.
Perform daily operational tasks such as opening and closing the clinic, managing laundry, and ensuring all areas are tidy and well-maintained.
Support marketing initiatives and client follow-ups, contributing to business development and outreach efforts.
Communicate effectively with all clinic staff to ensure smooth shift transitions and collaboration.
Provide feedback and insights on client experiences and operational efficiency to help enhance clinic performance.
Manage direct billing for insurance claims, ensuring that claims are accurately processed and submitted to insurance providers.
Requirements:
2+ years of experience in a wellness administration or similar role with a focus on client care.
Proficiency in scheduling software and administrative systems, such as Jane, and familiarity with communication tools (text and phone).
Strong communication and interpersonal skills with a welcoming and professional demeanour.
Experience with insurance billing and understanding of claims processes.
Excellent organizational skills, attention to detail, and a proactive approach to managing clinic operations.
Ability to create engaging social media content and a passion for promoting wellness services.
Positive attitude, team-oriented, and driven to contribute to a supportive and dynamic work environment.
