Front Desk Receptionist / Administrative Assistant
to join our growing team. This role is ideal for a detail-oriented, responsible, and professional individual who enjoys working in a fast-paced legal environment.
Key Responsibilities
Answer and make phone calls to clients, insurance companies, opposing counsel, medical institutions, and other third parties in a professional and courteous manner
Greet clients and visitors and provide general front-desk support
Schedule appointments for clients and coordinate meeting times with lawyers and legal staff
Prepare, assemble, and organize various legal and administrative documents
Send contracts and documents to clients for signature using DocuSign and follow up as needed
Receive, sort, and distribute incoming mail and courier packages; prepare outgoing mail
Maintain calendars, assist with scheduling, and support lawyers and legal staff as required
Handle other administrative tasks and office support duties as assigned
Qualifications
Previous experience in an administrative, receptionist, or office support role, or completion of a relevant administrative diploma or certificate
Fluent in English and Mandarin; Cantonese is an asset
Proficient in basic computer applications (e.g. Microsoft Office); experience with DocuSign is an asset
Excellent communication and interpersonal skills
Strong attention to detail, highly organized, and able to handle multiple tasks
Ability to work independently as well as collaboratively in a team environment
