About the Role



The Front Desk Lead is both a people and operational powerhouse. You'll oversee the day-to-day performance of the clinic team while ensuring a high-quality experience for every client who walks through our doors. You'll coach, coordinate and continuously improve the systems that make our care seamless.

This is a hybrid role for someone who thrives in dynamic environments - part operations, part team support and fully committed to raising the bar in care delivery.

Primary Job Responsibilities



Team Leadership: Mentor and manage front desk team members, ensuring clarity, confidence and accountability in daily tasks Clinic Operations: Oversee day-to-day systems (scheduling, billing, inventory, space management) and flag inefficiencies or areas for growth. Client Experience: Maintain a high standard of service and consistency across all client touchpoint - from arrival to follow up Data and Reporting: Track key metrics (utilization, cancellations, retention, revenue, etc) and translate insights into action Project Execution: Help implement new tools, protocols and improvements that align with our evolving client journey

Communication and Collaboration



Build a strong relationship across therapists, operations and leadership. Lead with curiosity and clarity - setting expectations while remaining approachable and adaptable Represent the voice of both clients and team members in identifying pain points and advocating for solutions

You're the operational heartbeat of the clinic, turning daily tasks into high-impact moments of clarity, calm and care.

About You



1+ years in experience in leadership, coordination, or clinic management role (wellness, rehab, healthcare or boutique fitness ideal) Organized, proactive, and energized by making systems run better Skilled at coaching and motivating people across different personality types Excellent communication skills (verbal and written) Familiarity with tools like Jane, Notion and Slack - or quick to learn new platforms Comfortable analyzing basic metric and using them to guide decision - making Bonus: Experience working with physiotherapists, chiropractors, RMTs or other regulated health professionals
