Key West Ford is looking to add a full-time front desk administrator to our team.

This is a critical role that ensures our dealership runs efficiently. Our team greets every guest warmly, answering all incoming phone calls with a positive attitude, ready to assist with whatever is needed.

Key Responsibilities:



Customer Service Excellence:

Greet customers with a friendly, courteous, and professional demeanor. Address inquiries and direct customers to the appropriate department.

Phone Management:

Answer incoming calls promptly, screen and route calls to the appropriate personnel, and take detailed messages as necessary.

Administrative Support:

Assist with various administrative duties, including filing, data entry, handling correspondence, and maintaining records.

Team Supervision:

Lead, train, and oversee a team of receptionists to ensure consistency in customer service and smooth reception operations.

Financial Transactions:

Process payments for services, sales, and other dealership-related transactions accurately. Complete daily banking duties with accuracy and attention to detail.

Collaboration:

Work closely with the various departments to ensure seamless communication and workflow.

Record Keeping:

Maintain accurate logs and documentation related to demonstration plates, sales calls, etc.

Duties:



Greeting and directing customers Receiving phone calls, must be able to: converse with all callers in a courteous and professional manner, transfer calls quickly and accurately, take detailed messages and relay to appropriate parties in a timely fashion and page staff within the dealership clearly over intercom system Cash handling Maintain the petty cash float and reconcile at the end of every shift Seal and stamp outgoing mail Complete service receipting as required Operate the electronic funds transfer & point of sale machines Provide customer receipts according to Key West Ford standards and procedures Release service vehicles to customer during 'service after hours' as needed Maintain demo plate distribution and collection Distribute and track all incoming sales calls according to Key West Ford standards and procedures Daily filing Other related duties as reasonably assigned

Skills & Requirements:



Prior experience in a customer service or reception role, ideally in the automotive industry Excellent verbal and written communication skills Exceptional organizational and multitasking abilities Proficiency with office software Professional phone etiquette and a friendly, approachable demeanor
Job Types: Full-time, Permanent

Pay: $20.00-$25.00 per hour

Expected hours: 40 per week
