We are seeking a highly organized and professional Front Desk Administrator to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and managing administrative tasks efficiently. The ideal candidate will possess strong office management skills, be proficient in various computer applications, and have excellent communication abilities. Bilingual skills are a plus to serve our diverse client base effectively.
Duties
Greet visitors and clients with professionalism and courtesy, ensuring a positive first impression.
Manage multi-line phone systems, directing calls appropriately and maintaining excellent phone etiquette
Schedule appointments, manage calendars, and Process Insurance / Billing (EHC, MVA, and WSIB billing.)
Perform data entry, filing, and maintain accurate records using QuickBooks and other office management software
Handle correspondence, proofread documents, and support administrative tasks such as copying, scanning, and organizing files
Provide customer support via phone, email, or in person, addressing inquiries promptly and professionally
Support office management activities including supply inventory management and general clerical duties
Maintain a clean and organized front desk area to promote a welcoming environment
Requirements
Proven experience in office administration or clerical roles; prior experience as a medical or dental receptionist with Juvonno experience is advantageous
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Strong written and verbal communication skills; bilingual abilities are highly desirable
Experience managing multi-line phone systems and providing exceptional customer service
Ability to handle confidential information discreetly and professionally
Prior experience in office management or administrative support roles including calendar management and personal assistant tasks is beneficial
Strong time management skills with the ability to prioritize tasks efficiently
