This position plays a key role in daily business operations by
managing administrative tasks
related to organization, record-keeping, and handling time-sensitive, confidential information. The Fleet and Asset Administrator assists in
maintaining company assets and vehicles
to ensure optimal performance, compliance, and cost-efficiency.
The successful candidate will be working
Monday to Friday
at our Fort McMurray office in Rickards Landing (181 Robertson Road, off the corner of HWY 881 and HWY63). You

Responsibilities:
Build and maintain different spreadsheets and tracking systems.
Using a range of software packages including Office 365 (Excel, Word, SharePoint, Teams, OneDrive), GOST, WASP, Protractor, NetSuite, and MDI.
Manage incoming calls and emails on behalf of the Fleet and Asset Manager, handling correspondence, inquiries, and concerns in a courteous and professional manner.
Attend meetings, produce agendas, take minutes, convey decisions, handle meeting correspondence, and other similar tasks.
Selective quote and procurement, such as, but not limited to vehicles, equipment, stationary equipment and material assets, stationery and office supplies at the Managers discretion.
Responding to correspondence, complaints, and inquiries, ensuring a timely and constructive resolution through solution oriented input.
Prepare reoccurring and unique reports to Fleet and Asset Manager when needed or requested.
Maintain computerized internal and external client, supplier, and fleet information.
Monitor internal and external customer records to track scheduled servicing, documents, pre-trip inspections, and upcoming remedial work. Communicate relevant details to appropriate contacts and support customers in arranging necessary repairs or addressing concerns.
Maintain complete confidentiality of all information while on or off company time and working within ICD's confidentiality guidelines.
Act as a liaison between customers, service-related businesses, and other company departments.
Ensure compliance with customer commitments and overall production schedules.
Perform yard and asset verification outdoors approximately 5-10% of time
Support and cooperate in all company-wide quality management efforts.
Keep up to date with any regulatory or statutory changes and policies that might affect the organization. and ensure they are being followed by all personnel.
Ensuring health and safety polices at for Fleet and Asset are up to date.
Perform all other duties as assigned by Fleet and Asset Manager
Required Qualifications:
Minimum 2 years experience in a closely related industry and job capacity.
Must be familiar with a fleet and asset field concepts, practices, and procedures.
Demonstrated knowledge of Microsoft Office suite, including proficiency in Word, Excel, and PowerPoint. The successful candidate should be familiar with fundamental functions such as document creation, spreadsheet management, and presentation development using these Microsoft programs.
Must be legally eligible to work in Canada.

Successful candidates must provide the following items prior to confirmation of their start date:
Copy of valid Class 5 (or greater) driver's license
Copy of current 3-year clean driver's abstract
Copies of safety and training certificates

. This includes, but is not limited to, following Safe Work practices and procedures, attending safety meetings and toolbox talks, understanding and navigating our digital safety application (SiteDocs), completing FLRA's, using PPE, inspection of vehicles, tools, and equipment, and more.
