Fleet and Maintenance Administrator



Location:

Leduc (supporting Bonnyville, Leduc, and Fort McMurray shops)

Reports to:

Fleet Manager

Works closely with:

Parts Technician and Inventory Team

Primary Purpose




Provide administrative support to the Fleet Manager, Mechanics, and Parts/Inventory teams by maintaining accurate records, coordinating service activities, and ensuring smooth administrative operations across all three shops.

Key Responsibilities



Service Documentation:

Record and maintain service history for all fleet equipment and vehicles. Maintain truck binders when units are in the shop for repairs, ex. registrations and insurance.

Work Orders:

Prepare, track, and close out work orders; input details provided by mechanics.

Parts & Inventory Support:

Assist Parts Tech with order processing, receiving parts, and tracking usage.

Communication:

Act as an administrative point of contact between shops, mechanics, and Fleet Manager.

Scheduling Support:

Help coordinate maintenance schedules, inspections, and repairs across locations.

Reporting:

Generate regular reports on fleet maintenance status, outstanding work orders, and service history.

Administrative Support:

File, organize, and manage documents, invoices, and vendor correspondence.

Compliance:

Ensure maintenance records and inspections meet regulatory and company requirements.

Purchasing Support:

Assist with purchase orders, invoice coding, and reconciliation as directed.

Essential Skills & Qualifications



Strong organizational and time-management skills. Proficiency in MS Office (Excel, Word, Outlook) and maintenance tracking systems. Excellent communication and teamwork skills. Attention to detail and accuracy in record-keeping. Experience in fleet, maintenance, or shop environment (asset but not mandatory)
