is seeking a driven, highly organized Firm Operations Coordinator to support the firm's growing administrative and operational needs. Working closely with the Chief Operating Officer, the Firm Operations Coordinator will play a key role in ensuring smooth day-to-day firm operations and supporting strategic initiatives that enhance coordination, responsiveness, and internal service delivery.
Key Responsibilities
Technology Coordination:
Act as the service contact for IT support to facilitate and track the resolution of requests, maintain the firm's technology inventory, and handle routine IT equipment requests.
Digital Platform Coordination:
Manage the firm's digital tools and subscriptions, promote platform adoption, and coordinate internal training.
Data & Administrative Support - Accounting & Legal:
Support the firm's transition toward paperless practices and overall departmental operations by assisting with digital workflow transitions, including scanning, and organizing records, implementing electronic filing practices, and maintaining document systems. Provide administrative support through data entry and analysis, document management, and coordination of professional association memberships, renewals, and related communications on behalf of the firm's legal staff.
HR & Employee Engagement Support
: Coordinate recruitment administration, onboarding, and orientation processes, and assist with employee engagement initiatives and firm events that support culture and collaboration.
Training & Development:
Support the development and delivery of internal training programs to ensure employees receive ongoing learning after onboarding, helping reinforce best practices, improve platform adoption, and build operational consistency across the firm.
Facility & Vendor Coordination
: Serve as the point person for coordinating maintenance, upgrades, and vendor appointments across offices to ensure operational continuity and efficiency.
Marketing Support and Optimization
: Support the planning, implementation, and tracking of marketing initiatives, both digital and traditional, to strengthen the firm's visibility, drive engagement, and monitor key performance metrics across platforms such as the website, Google Business profiles, social media channels, digital advertising, and firm events.
Qualifications
Post-secondary graduate in business administration, operations management, or a related field.
2+ years of experience in an operations, administrative, or project coordination role (professional services experience is an asset).
Strong organizational and multitasking skills with keen attention to detail.
Proficiency with Microsoft 365 and comfort working across multiple digital platforms.
Excellent written and verbal communication skills.
Demonstrated ability to manage competing priorities and maintain confidentiality.
Recent post-secondary graduates who are career-ready, resourceful, and confident in their ability to take initiative and grow into a dynamic operations role are encouraged to apply.
