Come join our Fine Arts Team in Production and Operations!Reporting to the Academic Department Manager Production and Operations and the Production and Operations Assistant - the Fine Arts Operations Assistant is the first point of contact for non-academic inquiries for Drama and Music students, staff, faculty, instructors, technicians, Directors, Designers, and responds to inquiries, provides information and support as required. This position will play a vital role in supporting Music and Drama with space booking, access, scheduling and other administrative tasks.Duties

  • Assist in managing room booking for FAB, Timms, and Convocation Hall including but not limited to the weekly online room booking system for Drama and Music, classroom booking, rehearsal hour booking, room booking form, interdepartmental requests, one-off requests, and monitoring of room booking policy.
  • Assist in managing access to FAB, Timms, and Convocation Hall which includes sign-out, return, request, and organization of keys and using Protege to assign and remove access to OneCards and temporary access cards
  • Assist in processing invoices and payment processing related to item and space rentals.
  • Serve as a first point of contact for most all activities in the Production and Operations Office. Assisting with problem-solving and identifying appropriate means of support within the Administrative and Departmental network.
  • Update and maintain P&O documentation when required and distribute information to students on behalf of the P&O Office
  • Complete administrative tasks and special projects assigned by ADM P&O or P&O assistant
Minimum Qualifications
  • High school diploma
  • Demonstrated ability to work collaboratively in a team environment while managing competing priorities.
  • Excellent interpersonal and communication (verbal and written) skills including strong ability to demonstrate professionalism, confidentiality, and diplomacy.
  • Excellent time management and organizational skills and attention to detail.
  • Ability to take direction and work independently through the scope of a project, seeking input as needed.
Preferred Qualifications
  • Experience in the Fine and Performing Arts.
  • Experience with University Programs.
  • Experience with Google applications including; Gmail, Calendar, Sheets, and Drive.
  • Experience in payment processing systems.
  • Intermediate First Aid.
