Administrative Assistant
to support our financial advisors and ensure smooth, accurate processing of client paperwork and day-to-day operations.
Position Overview:
As the Administrative Assistant, you will play a critical role in the client service experience. Your responsibilities will include preparing, processing, and submitting financial documents, maintaining organized client records, supporting the daily workflow of our advisors, and answering telephone and email enquiries. This position requires a high level of accuracy, confidentiality, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
Prepare and complete all required paperwork and forms related to financial plans, investments, insurance, and account transfers
Submit documents to internal departments, carriers, and investment companies accurately and on time
Track and follow up on submitted paperwork & applications to ensure timely processing and resolution
Maintain and update client files and CRM system with documentation, notes, and status updates
Coordinate client meetings and support advisors with meeting preparation (agendas, reports, documents)
Communicate with clients by phone and email regarding paperwork status, missing information, or appointment reminders
Maintain compliance standards by ensuring all paperwork is completed correctly and filed appropriately
Provide general administrative support to the office, including reception duties, mail distribution, scanning, and filing
Qualifications:
2+ years of administrative experience, preferably in financial services, insurance, or related field
Knowledge of financial documents and procedures (e.g., investment applications, KYC, transfer forms) is a strong asset
Experience with e-signature processing
Excellent attention to detail and organizational skills
Strong communication and interpersonal abilities
Proficient in Microsoft Office Suite and CRM or financial planning software
Ability to manage sensitive information with discretion and professionalism
Some experience or understanding of websites, social media is an asset
Mutual Fund License is required, or willingness to obtain this within the first six months of employment
