The Role
We are looking for a Financial Planning Research Assistant / Associate who is detail-oriented, tech and data comfortable, and eager to grow into a future Associate Advisor role. This position is designed as a bridge role between our operations team and lead advisor. It is ideal for someone with strong analytical skills who is eager to grow into client-facing expertise and a long-term career in financial planning:
Lead Advisor Support:
Capture and summarize meeting notes, track and follow up on client-related tasks, and help ensure nothing falls through the cracks.
Data & Records Management:
Maintain and update client information across financial planning software, CRM systems, and custom Excel platforms. This includes entering investment transactions, updating beneficiary and insurance details, reconciling account data, uploading documents, monitoring plan progress, preparing client review packages, and ensuring reports and dashboards remain accurate and timely.
Client Communication:
Handle client interactions, responding to routine questions, and preparing personalized correspondence by phone and email.
Coordinate and support:
Between lead advisor and operations team for client transactions, task execution and document handling.
Planning & Compliance Development
: Assist with investment research, plan preparation, and compliance documentation while building your technical expertise in financial, retirement, and estate planning.
Practice Growth Projects:
Take on special projects that contribute to the practice's success - for example, helping with website updates, client experience initiatives, or social media management, etc. if you have the interest or skills.

Qualifications - Education
Preferred: Bachelor's degree (Finance, Business, Economics, or a related field an asset, but not required) Minimum: Completion of a recognized college diploma program in one of the following areas: Accounting, Payroll and Benefits Administration, Business Administration, Financial Services/Finance, Office Administration - Executive, Human Resources Management, Paralegal/Legal Assistant, Medical Office/Assistant, Data Analytics/Business Analytics, Insurance and Risk Management, Marketing Management, or Supply Chain Management. Other related diploma programs may also be considered.
Upon hire: Must be willing to obtain investment license(s) (IFIC or CSC & CPH) and pursue the Certified Financial Planner (CFP) designation and/or other financial planning educational pathways. Tuition support payments are available for approved financial planning programs and designations.
Qualifications - Work Experience
Preferred: Previous experience in one or more of the following roles: research assistant, advisor, tax consultant, engineering assistant, medical office manager, coordinator, personal tax preparer, payroll administrator, Legal Assistant / Paralegal, Compliance, Risk Analyst, Paraplanner, Associate Advisor, Executive Assistant. Minimum: Previous experience providing customer service and dealing directly with clients/customers in a professional services environment, whether in person, by phone, or by email.
