Position Summary:

Under the direction of Financial Officer, the Financial Administrator (FA) provides administrative and fund management support for all funds within their jurisdiction. The FA will regularly monitor and report on the financial activity of all funds and ensure compliance with all internal and external policies and regulations. The FA will participate in ensuring a smooth functioning of the financial management of departments within their jurisdiction.



Primary Responsibilities:Administer funds and act as a primary point of contact for PIs requiring financial administration services. Initiate and process a number of accounting activities such as opening accounts/funds, journal entries, past payroll transactions, advances, requisitions, expense reports, petty cash, supplier invoices and procurement card purchases, check deposits, accounts receivable (i.e. request for invoicing, detail code and client ID). Monitor funds by reconciling expenses and deposits against the general ledger and resolve discrepancies. Validate all transaction types, via the appropriate Financial Services reporting tools/protocols to ensure that transactions are compliant and accurate within policies and regulations. Assist clients with creating budget plans and monitor/reconcile transactions accordingly Coordinate the opening, termination, or extension of new funds by filling in the necessary documents and coordinating with appropriate parties. Gain access to confidential information regarding gifts, donations and donor's data and information). Monitor fund openings and expenses as per agreements. Monitor monthly outstanding accountable advances report and help with the settlement of the transactions. Administer purchase order (PO) requests, creation, or cancelation/liquidation, and ensure compliance and accuracy of information. Administer all financial WD processes and act as a primary point of contacts for all staff requiring financial WD related services. Organize and provide training and assistance to departmental staff, on financial affairs and policies to ensure best practices are followed. Assist the Financial Officer with special projects as required and perform other related duties.


Other Qualifying Skills and/or Abilities:

Strong knowledge of accounting and financial management principles. Service-oriented with proven excellent customer service skills. Proven ability to effectively communicate and interact with various levels of administrative and academic staff. Excellent analytical and problem-solving skills. Demonstrated organizational skills, ability to multi-task, prioritize and meet deadlines. Ability to work autonomously and as part of a team. Facilitate and maintain strong, consistent, and positive communications, oral and written in both English and French. Knowledge of McGill University's financial policies and procedures is an asset. Knowledge of McGill fund types (or other University), including experience working with operating funds is an asset. Proficient with computerized applications including spread sheets, databases, word-processing software, Banner FIS, Crystal reports and WorkDay.
