About the Role:
As a
Finance-Logistics Operations Specialist
(Fin-Log Ops Specialist), you are the gatekeeper and owner of accuracy and efficiency for our sales documentation and financial processing. You will report to the Finance Manager for finance projects and COO for logistics oprations. This is a stable,
part-time (estimated 15-25 hours per week), fully remote
role ideal for an independent and responsible professional who thrives in a fast-growing tech environment.
In this role, you will serve as the bridge between sales, logistics, and finance, ensuring deals are processed correctly and revenue flows smoothly. Crucially, you will serve as a dual player in our Finance and Logistics departments.
Finance Operations is where you will spend 80-90% of your time
, combining great customer service communication with speed, accuracy, and attention to detail to provide the optimal client experience and ensure financial precision. However, you will also act as the
designated backup for our Logistics function
, ensuring that product movement and fulfillment continue seamlessly when our Logistics Manager is away, without disrupting our customer delivery timelines.
This is a fully remote position and requires adherence to Philippine Standard Time (PST).
Occasional meetings outside of standard office hours may be required.
What You'll Do:
Manage Deal Processing & Documentation
Serve as the primary owner for documenting and processing sales deals within the finance software.
Review Hubspot for new deals, notifications, or queries periodically to ensure rapid response times.
Write clear documentation and notes in Hubspot on sales deals for tracking purposes.
Update Hubspot for any deal stage changes (payment received, processing stage, queries) and ensure sales, finance, and inventory management software are synced.
Drive Financial Operations & Invoicing
Process deals in Maxio and generate invoice and revenue schedules.
Adjust invoices received from customers (updating banking details for payments, invoice details adjustments, etc.).
Code transactions, match payments to invoices, and create bills for payments of production/operational expenses.
Manage the financial approval and payment process through the Finance board in Asana, coordinating timely approvals from stakeholders.
Proactively follow up on past-due accounts receivable and provide monthly reports on current and outstanding ARs.
Manage customer inquiries, process customer cancellations, ensure internal stakeholders are informed, and maintain documentation for all customer cancellations.
Logistics Support & Backup (As Needed)
Serve as the primary backup for the Logistics department during leaves of absence or high-volume periods.
Process operational tasks within our inventory system (Dear Systems/Cin7 Core) to ensure orders are fulfilled on time.
Liaise with warehouses and freight forwarders to troubleshoot shipping exceptions or delays when covering for the logistics team.
Assist in reconciling inventory records with financial records to ensure stock accuracy.
Communication & Stakeholder Management
Communicate regularly with sales and logistics teams to ensure sales deals are progressing efficiently.
Communicate directly with clients regarding invoices and payments to ensure a smooth customer experience.
Follow up on invoicing with clients to maintain healthy cash flow.
What You'll Bring
Experience:
3+ years of working experience in accounting and finance operations.
SaaS experience preferred
Prior experience with or willingness to learn basic logistics coordination (shipping, inventory management, or fulfillment) is required.
Technical Aptitude:
Hands-on experience with XERO, Maxio, Hubspot, and Dear Systems (Cin 7 Core) is highly preferred.
Proficiency with tools such as GDrive/Google Suite, Slack, and Asana.
Fast, accurate data entry skills and the ability to use word processing, spreadsheet, database, and email software effectively.
Education:
Accounting diploma or above.
Understanding of basic accounting procedures.
