Position Overview



The

Finance & Operations Coordinator

plays a vital role in keeping our financial and operational systems organized and connected.

This position supports accurate bookkeeping and payroll readiness, coordinates documentation and communication with our external accounting team, and ensures key administrative processes run smoothly. It's ideal for someone who enjoys organization, consistency, and ensuring all the moving parts stay aligned.

This is a

part-time role (20-30 hours/week)

with flexibility and potential to grow with the company.

Key Responsibilities



Bookkeeping & Finance Coordination



Upload weekly transaction and bank statement files to QuickBooks/HubDoc Prepare payroll summaries, reimbursements, and ROEs for accountant review Track accounts payable and receivable; follow up with vendors and clients as needed Maintain cash-flow and expense tracking sheets Support quarterly GST and WCB filings

External Liaison



Serve as the main point of contact with our external accounting team (Ventiga) Coordinate weekly financial uploads, reconciliations, and payroll cycles Communicate status updates and outstanding items with management and accounting teams

Operations & Administration



Maintain organized financial and HR records (contracts, benefits, compliance) Assist with office coordination, insurance renewals, and vendor communication Ensure accuracy and consistency across systems (Knowify, Aspire, QuickBooks)

Qualifications



2+ years of experience in bookkeeping, accounting admin, or operations support Strong attention to detail and organizational skills Experience using QuickBooks, HubDoc, or similar platforms Excellent communication and follow-up skills Comfortable working collaboratively with external accounting teams

Compensation & Benefits - what we offer



Part-time role, with competitive wage: $25.00-$32.00/hr (based on experience). 20-30 hours per week with flexible scheduling Hybrid work structure (some in-office presence preferred) Overtime eligibility.
