Job Description


Staffmax is assisting our client in Calgary, Alberta, in their search for a Finance Clerk to provide financial and operational support from June 1, 2024, to March 31, 2025.Role Overview:In a fast-paced, high-demand environment, the Finance Clerk will handle financial tasks and may also engage in operational and administrative duties. Reporting to the Executive Administrator, you will support the Executive Vice-President Office team with a variety of medium-complexity tasks, both routine and varied, based on workload and priorities.Mandatory Requirements:

  • Education: Secondary school diploma or a combination of education, training, and relevant work experience.
  • Experience:
  • 12 months of relevant experience in a business environment within the last six months.
  • Experience providing financial administrative support to executives, VPs, CEOs, and management within the last six months.
  • Security Clearance: Reliability level security clearance at the time of bid closing.

Preferred Qualifications:
  • Knowledge of Government of Canada business processes, including the Financial Administration Act and the approval process.
  • Familiarity with IRIS Systems, SAP Financial System.
  • Experience with AMEX Global Business Travel (GBT) system.
  • Knowledge of GCdocs.
  • Skills in event and hospitality management.
  • Experience in budget and accounts reconciliation.
  • Practical application of Sections 32 and 34 of the Financial Administration Act.
  • Application of Delegated Financial Spending Authorities.
  • Understanding of the National Joint Council Travel Directive.
Responsibilities:
  • Handle travel requests and expense reports using the travel system.
  • Review and ensure accuracy of travel requests and expense reports.
  • Create and complete transactions in SAP IRIS for acquisition card purchases.
  • Convert documents into PDFs, compile, add bookmarks, and share via SharePoint/OneDrive/OneNote.
  • Manage meeting schedules, resolve scheduling conflicts, and maintain Outlook calendar systems.
  • Pull financial reports, analyze data, and prepare recommendations in SAP IRIS.
  • Process acquisition card transactions and procure goods/services using Government of Canada Acquisition Cards.
  • Track materials, follow up, and mark tasks complete.
  • Maintain electronic filing systems.
  • Proofread documents for approval, ensuring proper cost coding and documentation.
  • Handle confidential and sensitive information.
  • Order office supplies and record purchases in SAP.
  • Complete necessary forms and other related administrative and financial tasks.
  • Organize meetings and events, collaborate to resolve scheduling conflicts, and manage logistics and hospitality.
  • Take and transcribe meeting minutes, track follow-up actions, and ensure proper document formatting and grammar.

  • Ensure timely and accurate handling of tasks and logistics.
  • Maintain organized, up-to-date, and accessible information.
  • Build strong working relationships across the organization.
  • Produce accurate documentation and maintain confidentiality.
Client Service:
  • Be a reliable team member.
  • Provide courteous, tactful, and timely assistance.
  • Ensure weekly approval of timesheets by the designated supervisor and submit monthly invoices.
Conditions and Requirements:
  • Work Monday to Friday, 7.5 hours daily (excluding lunch breaks) between 7:30 am and 4:00 pm.
  • Primarily office work with occasional heavy lifting/carrying.
  • Open office environment with hybrid work conditions until further notice.
  • Handle tight deadlines, changing priorities, and challenging interactions.
Support Provided by CER:
  • Access to information, data, reference materials, and a furnished computer/laptop.
  • Workspace in the office building and hybrid work conditions as applicable.
  • Excludes Federal Statutory Holidays.
