Join Aya?s Me?n?men Child & Family Services as a Case Management Admin Clerk. This role plays a vital part in supporting the Nation's responsibility to protect, strengthen and uphold safety, belonging, cultural grounding and wellness for S?wx?wu7mesh children and families. This position ensures case files are accurately maintained, organized and managed in a way that supports quality case management, cultural safety, transparency and accountability.
As a key support role, you will be responsible for delegated file management, accurate data entry, archiving, records retrieval, digital file uploads, responding to information requests, and maintaining compliance with provincial standards, Nation protocols and delegation requirements. You will contribute directly to service quality by ensuring records are audit-ready, well-organized, and handled with integrity, confidentiality and cultural respect.
What You'll Do

Maintain, organize and manage both physical and electronic files for Guardianship, Family Service and Resource teams.
Process and manage file retrievals and file transfers including requests from MCFD.
Support case management teams by troubleshooting file issues and guiding staff on systems and processes.
Input accurate data into case management systems (ICM, MIS, Mustimuhw) and ensure information is consistent and compliant.
Support digitization, uploading, archiving, and secure disposal of records based on retention schedules and provincial protocols.
Ensure documentation is properly labelled, current and compliant with policy, standards and legal requirements.
Liaise with ministries and external agencies when needed for file information sharing (within permitted guidelines).
Support FOIPA request processing and after-hours memo distribution.
Apply and respect Indigenous cultural protocols in handling sensitive historical and generational information.
Participate as an active member of the Aya?s Me?n?men team and contribute to department goals.
Perform additional admin duties as required to support the department.
What We're Looking For

Grade 12 required; administrative or office management certification preferred.
Experience in administrative support, filing or records management.
Intermediate skills in MS Office and comfortable learning new systems.
Experience with ICM/MIS/Mustimuhw case management systems preferred.
Experience working in a First Nations/Indigenous service setting is an asset.
Organized, detail-oriented, able to manage high volumes of sensitive information.
Emotionally grounded, respectful, and able to handle confidential records with professionalism.
Strong interpersonal communication skills and team-oriented approach.

Salary:
$47,000 - $66,000
Candidates are typically offered compensation between the beginning to the midpoint of the range. We are committed to providing a fair and equitable package that reflects the value an individual brings to the organization.
