About the Position: We have a great opportunity for someone to join our team in Grande Prairie for a full-time contract role with the possibility of a full-time employee. You will have the opportunity to work with talented and dedicated people. During this contract, you will have the ability to be trained and mentored by the Production Field Administrator. This role reports to the Field Manager. Responsibilities: The successful candidate will provide administrative and clerical support for the Grande Prairie field office. Responsibilities for this 4-month term will include but are not limited to:
  • Assist the Field Manager, Production Field Administrator, and Foreman with the day-to- day operations of the office and field
  • Support the Field Manager and other employees through scheduling, logistics, preparation and distribution of agendas, minute-taking, and record-keeping
  • Manage operational invoicing and Accounts Payable Tracking
  • Review and amend Accounts Payable entries
  • Code and process vendor invoices, expense reports, contractor invoices, and monthly
Mastercard statements
  • Liaise with Field Manager on building management and handle day to day to building maintenance issues, janitorial and yard maintenance
  • Communicate effectively with other departments, Calgary office, and field employees to ensure efficient planning and proper execution of tasks
  • Perform administrative and clerical duties, including typing, internal paperwork, and incoming calls, to ensure office runs smoothly and effectively
  • Oversee the handling of couriers and of incoming/outgoing mail
  • Contribute to creation of office processes and protocols
  • Coordinate and facilitate field visits/tours and meetings
  • Monitor daily reports to ensure all operators are logged in for their shifts and add new operators as needed
  • Ensure vendors achieve and maintain satisfactory rating using CMDS
  • Utilize SMS update safety tickets, maintain meeting attendance, and ensure operators submit necessary documentation
  • Assist with onboarding of new team members in office and field
  • Coordinate all office IT requirements and assist team to solve issues as required
  • Assist with requested deliveries to landowners or field locations
  • Prepare invoices, memos, letters, and other documents when required
  • Compile, review and submit invoices for field employees
  • Maintain communication with residents and community, troubleshooting issues when required
  • Manage and perform projects as assigned on a day-to-day basis
Qualifications:
  • We are open to have someone who has worked in this role as a career before or someone starting out in their career and requires on the job training
  • Post-secondary diploma in Business Administration or related discipline would be an asset with two years? experience working in a similar role.
  • Working knowledge of the Oil & Gas industry is an asset
  • Experienced with Word, Excel, PowerPoint and SharePoint
  • Advanced competency in Outlook, Microsoft Teams, and Microsoft Suite
  • Previous work experience in administration or office-based setting considered an asset
  • Ability to multitask various initiatives while maintaining attention to detail and data entry accuracy
  • Well-spoken, professional, and speaks excellent English
  • Excellent interpersonal skills
  • Advanced time management skills to balance competing priorities
  • Analytical thinker with ability to work under minimal supervision
  • Self-starter with a strong work ethic
  • Tenacious and adaptable
  • Able to influence and maintain a positive attitude and enthusiastic attitude
  • Valid Class 5 Drivers License, and reliable vehicle
