Feed Customer Service Person - - Classe 1 ((S1))

GENERAL ACCOUNTABILITY

This position serves as the front line of communication receiving orders directly from farmer customers and retail co-ops and other customers via telephone, fax, text and over the counter. This position also serves as backup to the sales team by accurately responding to customer enquiries whenever possible or forwarding enquiries immediately to the sales team. Using computer processing prepares and distributes all necessary documentation in an accurate and timely manner to initiate production and delivery of orders to provide excellent customer service. Prepares required reports and preforms many other required office related duties.

Challenges * Receives calls for and confirms customer orders by phone, fax, text or in person accurately as to feed type, additives, quantity, and delivery date to provide excellent customer service and to meet the needs of the customers.

  • Acts as back up to the sales team providing accurate product knowledge to customers and accurate feedback to the sales team to assure accuracy with orders, customer feedback and provide excellent customer service. Refers customers to the sales team for specialized assistance and technical support. Also acts as a back up to the customer service specialist when she is out of the office.
  • Prepares required documentation (packing slips, work orders, production schedules, feed tags, etc.) to initiate production and delivery of customer and retail co-op orders. Receives and distributes new formulations for feed changes.
  • Prepares production schedule to maximize production/delivery efficiencies while meeting customer needs when required.
  • Is responsible for managing the petty cash within the office. Reconcile any transactions at the end of each period and submit a cheque request to replenish.
  • Review and analyze bulk inventory on a daily basis, ordering commodities based on the production requirements while staying within the confines of tank availability and restrictions.
  • Review and analyze bagged inventory on a weekly basis (or as needed) and order in any products needed while respecting deadlines for the procurement staff at LCF. Send out a weekly spreadsheet of the bagged inventory that is taken.
  • Keep account of everything that has been ordered and provide accurate information to the appropriate personnel (specifically the receivers).
  • With the receiving documents (bagged and bulk) enter into operating software all the information required (date received and the quantity) and send over to Accounts Receivable on a daily basis.
REQUIRED PROFILE
  • You have excellent interpersonal and communication skills;
  • You have good organizational skills and the ability to work well under pressure;
  • You have strong analytical and problem-solving skills;
  • You demonstrate a high degree of confidentiality and discretion;
  • You have good computer literacy including competency with Microsoft Office, more specifically with Excel/Word;
  • You are able to meet normal deadlines associated with good office procedures; and
  • Previous farm experience and bilingualism would be considered assets.
