The Opportunity:
The role of the Coordinator, Facility is to coordinate all the work that is related to the maintenance of the facility infrastructure and all facility-related applications in accordance with the applicable regulatory standards at Diteba. This role is under the supervision of General Manager and will require coordination with Lab Operations, Metrology, Project Management, Quality Control and Quality Assurance.
Manage the lab's preventative maintenance (PM) systems for building services and operational infrastructure (e.g., HVAC, plumbing, electrical, security, water supply treatment, effluent treatment, instrumentation support systems).
Ensure operational continuity and minimize service interruptions -- aiming for high availability (e.g., 99.99% uptime) of critical services and infrastructure.
Plan, schedule, and track PM work, coordinate maintenance vendors/contractors, and maintain maintenance logs and records.
Equipment & Instrument Lifecycle Management
Coordinate installation, operational qualification (OQ) / performance qualification (PQ) / validation of new laboratory equipment and instrumentation, ensuring compliance with internal and regulatory requirements prior to first use.
Work closely with Metrology and Lab Operations teams to plan and implement new instrument installations: understand system requirements, installation logistics, commissioning, qualification, and ongoing service support plans.
Manage decommissioning, removal, and disposal (or reallocation) of old or obsolete instruments/equipment in coordination with Metrology and Lab Operations.
Vendor & Third-Party Coordination
Supervise and coordinate any work done by external vendors for facilities maintenance, instrument servicing, calibration, environmental system servicing, or infrastructure upgrades.
Ensure all vendor activities comply with company quality systems, safety standards, and applicable regulatory or environmental guidelines.
Environmental Monitoring & Compliance Support
Manage the laboratory's environment-monitoring systems (e.g., HVAC environmental controls, water treatment, effluent treatment, controlled-environment zones).
Support or back up the instrument specialist / metrology team when needed, especially if the primary specialist is unavailable.
Oversee, investigate, and document any environmental excursions or deviations (e.g., temperature, humidity, HVAC failures, water treatment issues) as per established SOPs and quality procedures.
Training & User Support
Provide training or re-training to laboratory staff on new equipment or systems -- including proper use, safety, maintenance, and preventive practices.
Ensure users understand protocols related to environmental compliance, instrument handling, and facility usage.
Quality System Participation
Participate in the company's quality management system: support change controls, deviation investigations, incident reporting, CAPA (corrective/preventive actions), and customer complaint handling when related to facility- or equipment-related issues.
Maintain records and documentation required for audits, regulatory compliance, facility certification or inspections.
Operational Continuity & Risk Mitigation
Develop, maintain, and periodically review contingency and emergency response plans (e.g., backup power, HVAC failures, water treatment failures, effluent treatment, spill or containment events).
Coordinate with relevant teams to mitigate risks, schedule proactive maintenance or upgrades, and ensure uninterrupted lab operations.
JOB REQUIREMENTS
Education/Certifications/Experience
Minimum B. Sc or B. Eng in related fields
Knowledge
Previous experience in an administrative or customer service role
Experience with Microsoft Word and Excel
ISO, GMP & GLP guidelines as well as FDA, USP understanding an asset
Familiarity with laboratory support system in an industrial environment
Strong understanding of facilities infrastructure: HVAC, plumbing, electrical, water treatment, effluent treatment, building services.
Experience coordinating equipment installations, commissioning, qualification and validation (especially for scientific / analytical instrumentation).
Knowledge of environmental monitoring, lab compliance standards, quality systems, change control processes, and regulatory compliance in a laboratory context.
