Key responsibilities:

  • Manages the facilities management helpdesk using Hippo by monitoring, and responding to job requests, including liaising proactively and reactively with other staff and creating and tracking work order tickets. Reports generation to track and benchmark work ticket completion.
  • Facilitates and operates the Departmental Help Desk by responding to a multitude of complex and diverse requests.
  • Analyzes and routes requests to the appropriate area (e.g., Campus Manager, Security, Elevator Service Contractor Spacing, Housekeeping, Locksmith Contractor, Receiving, Maintenance Department or specific individual).
  • Operates CMMS work order system and prepares work orders for maintenance department.
  • Maintains a customer service focus while guiding co-workers in process of creating work orders, operating CMMS system, reporting request updates back to occupants, contacting Corus or TWD regarding parking or easement issues, participating in response teams as deemed necessary (e.g., Fire Alarm Activation), etc.
  • Performs financial-related duties such as controlling departmental Petty Cash System and monitoring the campus management budget.
  • Coordinates rental and space requirements by arranging rental of room request through the scheduler, arranging the set-up for the event, and invoicing the external renters.
  • Performs duties related to general office functions such as maintaining the office filing system, processing incoming and outgoing mail, coordinating service and repairs to office equipment, etc.
  • Other duties as assigned.
Educational and Experience Requirements:
  • Two-year diploma or equivalent in Business Administration, Communications, Property Management, or other related education.
  • Experience working with a CMMS system would be an advantage.
  • Minimum three years of general office experience with an emphasis in customer service.
