Export Documentation Coordinator
to join our team and ensure smooth operations in our export process.
Position Overview:
The
Export Documentation Coordinator
will be responsible for overseeing the export documentation process, ensuring all necessary paperwork is accurate, complete, and compliant with regulatory standards. The role involves coordinating with various internal teams and external stakeholders to ensure timely and efficient shipment of goods, from documentation preparation to customs clearance.
Key Responsibilities:
Export Documentation Management:
Prepare and manage all export-related documentation, including bills of lading, invoices, packing lists, certificates of origin, export declarations, and customs documentation.
Ensure that all documents are completed accurately and in accordance with the relevant regulations and international trade requirements.
Review all export documentation for compliance with customs and regulatory standards before submission.
Work closely with the logistics and shipping teams to ensure timely document dispatch to avoid delays in shipping.
Coordination with Freight Forwarders and Customs:
Communicate with freight forwarders and customs brokers to ensure all documentation is in order for smooth exportation.
Monitor and track shipments to ensure timely processing and provide any necessary follow-up.
Work closely with freight forwarders to manage bookings and ensure that cargo is delivered as per the agreed terms.
Liaison with Internal Teams:
Collaborate with the sales team to obtain necessary details for export documentation, including shipping schedules and customer requirements.
Work with the production team to ensure the timely availability of goods for shipment and documentation processing.
Ensure accurate communication with the finance department for invoice processing and payment coordination.
Compliance and Regulations:
Stay up-to-date on the latest regulations and changes related to international shipping, customs, and export laws.
Ensure all export documents meet both Canadian export standards and the regulatory requirements of the destination country.
Coordinate with regulatory bodies to ensure compliance with international trade laws.
Record Keeping and Documentation Filing:
Maintain accurate and organized records of all export documentation, ensuring both digital and physical copies are easily accessible.
Perform regular audits on documentation for compliance with export policies and procedures.
Ensure all export-related records are stored in accordance with company policies and legal requirements.
Problem Solving and Issue Resolution:
Address any discrepancies or issues that may arise during the export process, including documentation errors, shipment delays, or compliance concerns.
Work proactively to resolve any issues in a timely manner to avoid disruptions in the export process.
Customer Communication and Support:
Communicate with customers as needed regarding export documentation, shipment status, and customs processes.
Provide guidance to customers on required documentation and the customs clearance process.
Qualifications:
Minimum of 2-3 years of experience in export documentation, logistics, or a related field.
Knowledge of international trade regulations, customs procedures, and export documentation requirements.
Strong attention to detail with a focus on accuracy and compliance.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Excellent communication and interpersonal skills.
Strong organizational skills and the ability to maintain detailed records.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook). Experience with export documentation software is a plus.
Experience in the agricultural or export industry is preferred.
