About the Role
We are seeking an
Executive & Personal Assistant
to support a
business coach
who works with entrepreneurial leadership teams across Canada and the U.S.
This is a
hybrid position
combining professional administration, client coordination, and personal support. You will work closely with the coach to manage operations, logistics, and communication across both business and personal priorities. The role offers an exceptional opportunity for the right individual to learn the inner workings of a successful coaching and advisory practice--and grow into expanded leadership responsibilities over time.
What You'll Do
Business & Administrative Support
Manage email, calendar, scheduling, and travel logistics
Manage and execute bookkeeping in Quickbooks, including invoicing, expenses, and receipts.
Draft correspondence, prepare client follow-ups, and organize workflow between meetings
Support marketing and communication projects (website updates, CRM campaigns, newsletters, event coordination)
Create, document, and refine administrative systems for greater efficiency
Personal & Household Support
Complete personal errands and home-office tasks (e.g., car service, deliveries, shopping)
Manage personal scheduling, bookings, and local logistics as needed
Support family household management, (eg. booking cleaners, maintenance and repairs)
Bring order and consistency to both professional and personal environments

You are articulate, resourceful, and highly organized. You enjoy taking ownership, anticipating needs, and building systems that make complex lives run smoothly. You balance professionalism with discretion and can move fluidly between business and personal priorities.
Ideal backgrounds include:
Marketing Account Manager, Client Success Coordinator, Project Manager, Executive Assistant, or similar roles that required relationship management, attention to detail, and operational follow-through.
You will excel in this position if you:
Are comfortable on phone calls and able communicate clearly, confidently, and professionally.
Are skilled with digital tools (Google Workspace, HubSpot, QuickBooks Online, or equivalent).
Are willing to take initiative, take risks and solve problems.
Are hungry to learn more about business.
Are values-driven, dependable, and able to work independently.
