About the Role:
We are seeking a discreet, detail-driven, and design-conscious
Executive & Personal Assistant
to support the Founders. This is a multifaceted role at the intersection of operations, communication, and care. From HR support to special projects, birthday gifts to bank statements, this role requires equal parts organization and heart.
This part-time position is on-site, working
Tuesdays, Wednesdays, and Thursdays
, with occasional flexibility for events or deadlines.
Key Responsibilities:
Executive Support
Maintain calendars, organize meetings, and prepare agendas
Track important dates across campuses (birthdays, inspections, events)
Manage inboxes and help triage action items
Support the Founder in daily organization and prioritization
Operations & HR Administration
Track receipts, upload and reconcile against statements
Maintain staff data, training records, and incident logs
Assist with audit and licensing documentation
Update recruitment files and onboarding trackers
Events & Team Engagement
Coordinate monthly celebrations, leadership gifts, and cultural moments
Prepare materials for PD days and team retreats
Track RSVPs, design signage, and support event logistics
Publications & Branding
Support the production of In Blum Magazineand the annual Yearbook
Collect images, quotes, and layout content using Canva
Ensure materials align with Blum's aesthetic and tone
Personal Assistant Support
Coordinate personal and family calendars (birthdays, holidays, reservations)
Schedule appointments, errands, and home service logistics
Source and prepare thoughtful gifts, cards, and seasonal decor
About You:

You work beautifully with systems like Google Drive and Canva
You're discreet, diplomatic, and warm--able to hold sensitive information with care
Qualifications:
Experience in executive support, operations, HR coordination, or project management
Exceptional organizational and communication skills
Fluent in Google Workspace and digital file management
Background in education, HR, design, or hospitality is an asset
Must be legally authorized to work in Canada
