Job Overview
We are seeking a highly organized and proactive Executive Assistant to support our management team. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency in various office software. They will also be familiar with AI applications, open to trying something new and not afraid to ask questions.
The Executive Assistant will play a vital role in maintaining efficiency within our organization and supporting leadership with diverse administrative tasks.
Key Responsibilities
:
Executive Support
Manage and maintain executive calendars using Microsoft Outlook Calendar
Coordinate meetings and travel arrangements (flights, hotels, transportation) with attention to detail
Anticipate executive needs and proactively addressing challenges
Prepare, proofread, and edit documents, reports, and presentations with strong proofreading skills
Organize and maintain company agenda and minutes
Support management team members with clerical tasks such as filing, copying, and organizing documents
Event & Meeting Coordination
Planning and organizing company events, conferences and meetings
Assist with special projects and initiatives
Research and compile data for decision-making
Manage vendor relationships and contracts
Strategic Growth Planning - assist with developing long-term business strategies to expand operations and maximize resource potential.
Human Resources
Schedule and coordinate travel arrangements for team members
Assist with hiring new team members, which may include: interviewing, vetting, and recruiting
Onboard and offboard team members in a timely manner
Utilize DocuSign for electronic document signing processes
Maintain and update training schedules
Confidentiality & Discretion
Handle sensitive and confidential information with discretion
Act as a gatekeeper, ensuring the executive's time is efficiently managed
Office
Handle incoming calls using multi-line phone systems with professional phone etiquette
Provide exceptional customer service to clients and visitors at the front desk
Light general tidying / cleaning of the office areas
Manage office supplies inventory and place orders, as needed
MPI - Work with Shop Manager to organize and schedule work required for truck recalls, renewal of vehicle registrations, certificates of safety, etc.
Qualifications
Proven office experience or administrative experience in a professional setting
Excellent written and verbal communication skills; must be fluent in English
Strong organizational skills with the ability to multitask efficiently
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint Online) with a strong knowledge of using Excel
Comfort working in an Apple environment (iMacs, iPhones, etc.)
Exceptional customer service skills with professional phone etiquette
Attention to detail in proofreading and document management
Ability to work independently while managing multiple priorities effectively
Team player
Valid driver's license is a requirement as there is no public transit available.
