The Receptionist and Executive Assistant will attend to the reception desk by greeting visitors and answering, screening, and directing incoming phone calls and emails to the appropriate person or department, providing basic information to visitors, locating resources to resolve issues, and providing necessary clerical support to other staff. Provide administrative support to the Senior Administrator to deliver prompt, courteous, and professional services to the Wahta community while maintaining confidentiality.
Key Duties and Responsibilities:
Provide administration support and other related tasks and duties to staff members or departments at an appropriate level as needed.
Coordinate incoming and outgoing communication for the Senior Administrator, through email correspondence, filing, scheduling, and other administrative duties as needed.
Manage the Senior Administrator's calendar to avoid missed or conflicting schedules by adding events and scheduling appointments as needed while keeping the Senior Administrator informed on a daily basis.
Prepare purchase requisitions, cheque requisitions, communications releases, and special projects materials to the established Wahta standards or policies for the approval of the Senior Administrator to ensure the efficiency of operations.
Execute requests of the Senior Administrator to support the overall operational management of the Wahta Mohawks to ensure sustainable operations as per established guidelines and best practices.
Maintain and update the office directory including employee name, office location, and attendance to keep staff and visitors informed on who is in the building and for health and safety reasons.
Manage external and internal communications using a multi-line phone system to answer, screen, and forward incoming calls while providing exceptional customer service and maintaining professional etiquette.
Prepare outgoing mail and deliveries for Wahta based on mail schedule and schedule couriers as needed.
Collect, receive, sort, and distribute mail and deliveries to the appropriate personnel on a weekly basis as per established guidelines and best practices.
Provide administrative support to the Senior Administrator to ensure consistent operation of the organization using MS Office, the phone, office equipment, and speaking to staff and the community respectfully and with confidentiality under the direction of the Senior Administrator.
Write accurate meeting minutes capturing attendance, information, concerns, action items, etc.
Complete general administrative tasks to meet the needs of the Senior Administrator in a timely, professional, courteous, and respectful manner, as per established guidelines and best practices.
Education and Experience Requirements:
College Diploma in related field or an equivalent combination of education and experience in a similar or related position with a proven demonstration of skills.
Minimum 2 years of administrative experience.
Skills Required:
Strong knowledge of Microsoft Office Applications.
Strong problem-solving skills.
Must be reliable and dependable, and committed to maintaining confidentiality.
Must have the ability to work in and contribute to a team environment.
Must have a proficient level of communication skills, verbal and written, and be comfortable dealing with the public.
Must have the capacity to take initiative and to multi-task at times to accomplish the tasks and activities assigned.oKnowledge of the various types of support services available to families, within the community and beyond.
Experience working in a First Nation environment is an asset.
Knowledge in Kanienkeha:ka culture and history is an asset.
Must posses a current and valid Driver's License and dependable vehicle.
Terms of Employment:
This is a full-time position beginning immediately. This role is classified as a Level 6 on the Wahta Mohawks salary grid, with a salary range of $38,800.00 to $58,200.00 annually, based on qualifications, experience, and performance.
