We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide top-tier administrative and operational support to the executive team in a full time position. You will act as the right hand to leadership--protecting their time, optimizing workflows, and ensuring the organization functions efficiently at the highest level.

Responsibilities
Duties will include but are not limited to:
- Support operational tasks, document management, and process improvements as needed
- Prepare and co-ordinate the production and submission of summary briefs and reports
- Prepare agendas and make arrangements for committee, board and other meetings
- Conduct research
- Liaise with departmental managers and with other organizations and associations
- Plan, organize, direct, control and evaluate daily operations
- Maintain orderly filing systems, both electronic and paper-based, for easy information retrieval.
- Format outgoing correspondence and assist with new employee orientation.
- Record, transcribe, and disseminate meeting minutes.
- Ensure timely handling of customer inquiries and complaints, escalating issues as required.
- Assist leaders in fostering a positive work environment by organizing milestone events.
- Undertake additional responsibilities as assigned.
Qualifications
- At least 1 year experience in an Executive Assistant role
- Organizational and administrative skills required to perform activities in a deadline driven environment, working with constant interruptions.
- Excellent command of the English language (verbal and written).
- Proficient in Microsoft Office (MS Word, MS Outlook and MS Excel)
- Ability to receive direction from multiple individuals
- Ability to deal with varying personalities of internal and external clients
- Strong attention to detail
