Narratives is currently seeking experienced candidates for our Executive Assistant position to support two of our partners, and the organization. The position will be a full-time, Permanent position.

Responsibilities



Calendar management for two Partners Preparing and organizing meetings Responsible for managing general office maintenance, organization, stock of supplies, sending mail and checking mail delivery. Manage flights, accommodations, event registrations, and vehicle rentals for two Partners Manage expense claims and receipts for Leadership and approve expense claims for staff Manage corporate card accounts for staff Responsible for various accounting tasks, including issuing cheques or visa payments, sending invoices and filing documents appropriately Take minutes during meetings and follow up on action items on behalf of the Partners Communicate with all service providers and ensure smooth day-to-day operations Collaborate with the administrative team to uphold a well-organized and tidy office environment Client expense filing, bookings, and invoicing Software account and password management Available for after hours coverage as needed Organizing events, arranging reservations, and run errands Other administrative duties as needed

Qualifications



2-4 years previous experience in an administrative role Exceptional organization skills and attention to detail, with the ability to manage multiple tasks and deadlines with confidence Ability to adapt to and manage a constantly changing, dynamic workflow with proficiency, competency, and calm Demonstrated ability to take initiative and independently identify areas for contribution without needing direction Proficient and knowledgeable in computer software programs, specifically MS Word and Excel Must have a drivers license and willingness to travel as requested Positive and professional attitude Must demonstrate discretion with confidential information Exceptional writing, analytical, and communication skills Ability to communicate with diverse audiences

Salary Range: 60-65k
