We are looking for a dedicated and highly organized Executive Assistant to provide top-tier support to senior leadership in the North West side of Winnipeg, Manitoba. In this role, you will handle a variety of high-level administrative tasks, ensuring smooth daily operations and seamless communication. Responsibilities:

  • Reporting directly to the Vice President, manage calendars, including scheduling meetings, coordinating appointments, and resolving scheduling conflicts.
  • Prepare and circulate meeting agendas, document detailed minutes, and track follow-ups for executive meetings.
  • Coordinate complex travel arrangements, including international bookings and itinerary planning.
  • Draft and edit precise correspondence, memos, and presentations on behalf of senior leadership.
  • Handle confidential information with the utmost discretion and professionalism.
  • Act as a liaison between senior executives, internal teams, and external stakeholders.
  • Organize and oversee special events or projects, ensuring all logistics are executed flawlessly.
  • Maintain and improve organizational systems for file management, data tracking, and workflow optimization.
  • Anticipate executive needs and provide proactive administrative support.
  • Conduct research and compile data to assist in decision-making and strategic planning.
Requirements:
  • Minimum of 5 years of experience as an Executive Assistant or in a similar high-level administrative role.
  • Exceptional verbal and written communication skills with the ability to draft detailed and accurate documents.
  • Proven ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
  • Strong organizational skills with a track record of successful calendar and travel management.
  • Ability to remain calm under pressure and solve problems effectively.
  • High level of discretion and trustworthiness in handling sensitive and confidential information.
  • Experience coordinating events or managing executive-level projects is an asset.
