Community Living Windsor is a social service organization that provides supports and services to people who have an intellectual disability and their families. We are currently seeking a:

Executive Assistant



(40 hours/week)

Schedule:

Monday to Friday 8:30 a.m. to 4:30 p.m. (Hours and days of week subject to change and weekend hours may be required on occasion.)

This is a non-union position that will be reporting to the Executive Director. The Executive Assistant provides support to the Executive Director, Senior Team and Board of Directors including clerical and administrative support, coordination of meetings/events, preparing and reviewing reports, attending meetings and managing the flow of information. Given the nature and responsibilities of the position, a high level of confidentiality and diplomacy must be maintained. It is also expected that the incumbent has a genuine appreciation for and understanding of protocol, discretion and professionalism, can accept and assume responsibility, and has the ability to interpret and make decisions in accordance with prescribed procedures and practices of the organization.

Key Responsibilities:



Manage and maintain complex calendars, schedule meetings, coordinate travel arrangements and itineraries, and prioritize inquiries and requests for the executive(s). Serve as the primary point of contact and liaison for internal and external stakeholders, including partners, donors, and the public. This involves drafting, editing, and managing emails, announcements, reports, and presentations. Coordinate Board of Directors and committee operations, including scheduling meetings, preparing agendas and briefing materials, attending meetings to record minutes, and ensuring compliance with governance rules. Assist with special projects, track opportunities (e.g., grants, partnerships), maintain databases and filing systems, and support general office administration to ensure smooth operations. Provide administrative support for fundraising campaigns, manage donor records, and assist with planning and logistics for events, workshops, and community initiatives. Recruit, orientate and supervise volunteers for events and community initiatives. Handle highly sensitive information related to personnel, finances, and strategy with the highest level of integrity and professionalism.

Job Qualifications:



Minimum two-year post-secondary diploma with a focus on Business Support. Minimum of 3-5+ years of experience in a senior administrative or executive support role. Non-Profit experience is an asset. Experience working with a Board of Directors is an asset. Exceptional organizational, time-management, and multitasking abilities are crucial for managing competing priorities and deadlines. Strong written and verbal communication skills are essential for interacting with diverse stakeholders and preparing polished documents. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other digital tools like Google Workspace or project management platforms is expected. The ability to anticipate needs, think ahead, solve problems proactively, and work independently with minimal supervision is highly valued.
