Job description TITLE: Executive Assistant REPORTS TO: Chief Executive Officer, Chief Operating Officer and Vice-President - People LOCATION: Whitehorse, YT STATUS: Full-Time, Permanent; Monday - Friday. Please note, schedule is subject to change based on Operational Requirements. START DATE: ASAP COMPANY PROFILE Alkan Air is a flight solutions company. JOB SUMMARY: This position will provide direct support to the Executive Team with Alkan Air, with a secondary support to Management. We operate as a small team focused on meeting the needs of our clients and running the day-to-day operations of the company. The main duties for this position will include complex and confidential administrative support, booking company travel, drafting legislation & policies, research projects, coordinating meetings and taking minutes and other projects with minimal supervision. Job-Specific Responsibilities:
  • Corporate Governance
o Coordinate meetings for the management team; record and file minutes; o Administration and coordination of SLT and ELT teams o Create tracking system for action items, metrics and cross organizational decisions; o Keep important information and documents organized physically and electronically; o Policy and procedure amendments company wide; o Management of Alkan Server
  • Executive Support
o Coordinate travel and logistics for executives; o Process payments and financial reconciliation of VISA\xe2\x80\x99s; o Research and suggest process and system improvements for administrative tasks and activities; o Coordinate retreats and special meetings or training sessions; o Coordinate staff meeting; record and file minutes; o Keeping the Executives; calendar up-to-date; o Conduct research and create reports on various topics based on the needs of the Executive team; o Draft and prepare correspondence, presentations and reports with a high level of presentation and professionalism; o Write, review, proofread, edit documents, reports, speeches, presentations and correspondences; o Arrange corporate events to take place internally and outside of the workplace such as fundraising and staff appreciation events; o Work closely with the Executive Team to keep them well informed of upcoming commitments and responsibilities; following up appropriately;
  • Maintain a high degree of discretion and confidentiality;
  • Replenish office materials such as snacks, printer supplies, office supplies, paper etc.;
  • Management of Tangerine and IT support company wide;
  • Alkan Air website management;
  • Boardroom organization and boardroom bookings;
  • Set up of new computers and office staff company wide;
  • Invest in building long-lasting relationships both externally and internally;
  • Other projects/duties as assigned for the overall benefit of the organization;
  • Occasional travel with the Executive may be required;
  • Additional tasks as assigned by the Executive.
REQUIREMENTS:
  • Minimum of two (2) years experience as an Executive Asssitant
  • Education in Business Administrative, Public Policy or Equivalent
  • Experience performing research, compiling and presenting information in a concise written format
  • Extensive experience and proficiency with Microsoft 365
