Executive Assistant

Victoria, BC, CA, Canada

Job Description

Location:

Victoria, BC - In-person

Team vibe:

Fast, sharp, ambitious. A small crew building big things.

The Position

We move fast - and you'll be right in the middle of it.

You'll be the operational engine that keeps leadership and company aligned, moving, and focused. One day you're coordinating a dozen moving parts across programs. The next, you're solving a bottleneck before anyone else spots it.

You'll organize chaos into clarity, anticipate what's next, and create systems that make growth possible. This role is for someone who loves pressure, hates inefficiency, and gets satisfaction from seeing everything run on time, every time.

What You'll Do

Keep it all moving:

Own the calendar, meetings, and follow-ups so nothing slips through the cracks.

Stay five steps ahead:

Anticipate needs before they're said, fix problems before they're noticed, and simplify what's complex.

Build order from chaos:

Design systems, automate workflows, and refine how the team operates as we scale.

Protect focus:

Handle communications and logistics so leadership stays locked on high-impact work.

Track execution:

Maintain dashboards, review progress, and keep everyone accountable to the plan.

What Success Looks Like

The leadership team move fast, with zero bottlenecks. Projects are predictable, deadlines are met, and issues are surfaced early. Systems are simple, documented, and repeatable. The company feels smoother, sharper, and more aligned because of you.

Tech-savvy with strong software instincts - comfortable navigating new tools, automating workflows, and using data or dashboards to keep operations sharp. The judgment to know what matters, what doesn't, and when to speak up.
