We are looking for someone who can:
Manage and maintain calendar, including scheduling meetings, appointments, and travel.
Screen and prioritize incoming emails, calls, and correspondence; respond or delegate as appropriate.
Prepare and edit reports and correspondence on behalf of the President.
Prepare professional-level PowerPoint presentations.
Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items.
Arrange complex travel itineraries, accommodations, and logistics for both domestic and international trips.
Organize annual industry incentive trips for large groups that require airfare, transportation hotels, factory tours, meals and team building.
Liaise with key stakeholders, clients, executive team and staff.
Plan and organize company/employee events and team offsites.
Handle confidential and sensitive information with discretion and integrity.
Assist with personal tasks and errands as required to support.
Track deadlines, deliverables, and KPI's to ensure timely completion.
Support project management activities and provide support for special projects.
Acting as a point of contact between executives and other internal/external parties.
We think it would be awesome if you have:
Minimum of 3-5 years of experience as an executive assistant
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software is essential
Excellent written and verbal communication skills are crucial for interacting with executives, teams, and clients
A high level of attention to detail is necessary for accuracy in all tasks
Time management and prioritization
Flexibility and the ability to adjust to changing priorities are important.
Maintaining discretion and handling sensitive information with care is vital.
Demonstrates a strong ability to work well independently and collaborate effectively across functions, driving alignment and continuous improvement.
