Executive Assistant
to join our Vancouver office.
THE POSITION
The successful candidate will serve as an
Executive Assistant
, reporting directly to the President while supporting the management team as needed. This is a full-time, in-office position.
KEY ADMINISTRATIVE RESPONSIBILITIES:
Scheduling, Calls, and Travel Management
Manage multiple calendars for the President, team, and artists
Set up conference calls, call times, and meetings with internal staff and external clients
Schedule personal and professional appointments and meetings
Record meeting minutes and distribute action items accordingly
Coordinate and book travel, ensuring all travel protocols are met
Manage travel rewards programs and track travel expenses
Inbox Management
Handle incoming calls and emails in a prompt and professional manner
Manage the President's inbox, including drafting and responding to correspondence as needed
Prioritize and organize incoming communications to ensure timely follow-up
Oversee general tech maintenance, computer backups, and junk mail checks
Document and File Management
Draft and prepare official documents, memos, and reports as needed
Organize financial files, track receipts, and reconcile credit card statements
Maintain secure password logs and contact databases
Organize information and paperwork, ensuring file systems are accurate and up to date
Office Management
Maintain a clean and organized workspace
Assist in creating and implementing office policies and procedures
Support in event planning and coordination
Ordering office supplies, stationary, and business materials
Handle mailing, scanning, shipping, and photocopying
Coordinate client and partner gifts and cards as needed
Liaise with building management and vendors when required
Other Tasks
Help manage President's work flow, task list, and personal endeavours as needed
Collaborate on various projects and initiatives, providing administrative support as needed
Assist with posting and and scheduling content on the company's social media channels
Handle confidential information with discretion
SKILLS & EXPERIENCE REQUIRED:
Minimum 3 years' proven experience as an Executive Assistant or similar admin role
Exceptional organizational, time management, and multi-tasking skills
Excellent written and verbal communication skills
Ability to manage a high volume of tasks with strong attention to detail
Proactive, resourceful, and solution-oriented under pressure
Strong interpersonal skills and ability to work as part of a close-knit, energetic team
Proficiency in MS Office, Google Workspace, Dropbox, and MacOS
Technically proficient and quick to learn new software, tools, and digital systems
High level of discretion and professionalism
Availability outside regular office hours on occasion
Experience or interest in the music industry is a strong asset but not required
