Job Description

Cecil Community Centre is a not-for-profit, multi-service neighbourhood centre that offers a broad range of recreational, educational, social, cultural, and capacity-building programs to area residents. For over 40 years, the Centre has played a vital role in the lives of community members of all ages. Our centre provides programs and services for children, youth, adults and seniors.

We are seeking a dynamic and highly organized person for the position of

Executive Assistant

. The Executive Assistant will play a key role in streamlining the Centre's workflow as the link between various departments, employees, and external stakeholders.

Position Summary



The Executive Assistant plays a key role in supporting the Executive Director (ED) through administrative coordination, scheduling, document preparation, communications, and governance support. This position also liaises with community partners, staff, and Board members and ensures confidentiality, efficiency, and professionalism in all aspects of the ED's office operations.

Key Responsibilities



Administrative Support

Manage the Executive Director's calendar, appointments, correspondence, and travel arrangements.

Prepare and edit reports, presentations, and communications on behalf of the ED.

Maintain organized filing systems (electronic and paper) for confidential documents and records.

Coordinate meetings, take minutes, and track action items.

Board and Governance Support

Assist in preparing and distributing Board and committee meeting materials.

Record and draft Board and committee meeting minutes.

Support compliance with governance, policy, and reporting requirements.

Operational Support

Assist with coordination of staff meetings, internal communications, and organizational projects.

Coordinate community or public events led by the Executive Director or Centre.

Communications

Draft professional correspondence, memos, and announcements.

Serve as a liaison between the ED's office and internal/external stakeholders.

Maintain confidentiality and discretion at all times.

Education and Experience:



Qualifications and Experience:

Post-secondary education in Business Administration, Office Administration, Nonprofit Management, or related field.

Minimum 3-5 years of progressive administrative experience, preferably in a nonprofit, government, or community service environment.

Experience supporting senior leadership or Boards of Directors.

Familiarity with community-based organizations, social services, or public sector operations is an asset.

Knowledge and Skills Required:

Strong knowledge of office administration and executive support best practices.

Excellent written and verbal communication skills.

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Teams, and document management tools.

Exceptional organizational skills with the ability to manage multiple priorities and deadlines.

Sound judgment, professionalism, and discretion with confidential information.

Strong attention to detail and accuracy.

Ability to work independently and collaboratively in a diverse, inclusive environment.

Knowledge of nonprofit governance, record keeping, and reporting procedures is an asset.

Hours and Wages:

35 hours/week. This is a non-union permanent, full-time position with a salary range of

$55,000 - $65,000 annually,

commensurate with experience.
